DESCRIPTION
Department Overview
Enrollment Management (EM) is a multi-unit department within the Office of the Executive Vice Chancellor-Academic Affairs. The department is led by the Associate Vice Chancellor for Enrollment Management (AVC EM), who serves as the Chief Enrollment Officer and Chief Outreach Officer of the University. EM comprises multiple high-profile, core functional units including: the Office of Undergraduate Admissions, Office of the Registrar, Financial Aid & Scholarships Office, Cal-SOAP, Creative Services, Enrollment Analytics, and the Business Office. We work to advance the academic and public service missions of UC San Diego by ensuring equitable access to education and empowering students throughout their educational journeys.
The Office of Undergraduate Admissions leads the university's efforts to identify, recruit, admit and enroll the next generation of UC San Diego Tritons with particular focus on talented, academically capable, California students, representative of the diversity of the people of California. The mission of the office includes increasing the visibility of UC San Diego in California, the nation and world, through marketing and on- and off- campus recruitment activities to prospective first-year and transfer students and their families; school counselors; community college leaders and advisors; community based organizations; and educational organizations serving groups historically underrepresented on our campus. The Office of Undergraduate Admissions hosts more than 80,000 visitors and receives, processes, and reviews over 150,000 applications for admission annually. The office works collaboratively with on-and off- campus partners to achieve university enrollment goals.
Position Overview
The Triton Center Specialist - Admissions Officer (TCSAO) works in a high-demand office that receives over 150,000 undergraduate applications annually and serves as the campus information center for prospective students and their families. The TCSAO manages the Triton Center information desk, interacting with diverse individuals, addressing guest inquiries, and directing them to their destinations. They also provide work direction, training, and guidance to student employees, manage the general admissions email account, chatbot, and oversee front desk upkeep and distribution of recruitment materials.
They provide detailed information about UC San Diego’s educational offerings and admission requirements through on-campus or virtual presentations, workshops, some college fairs including information sessions for campus visitors on a daily basis. Additionally, the TCSAO maintains relationships with counselors and community organizations to enhance enrollment efforts.
The TCSAO reviews applications, evaluates academic records, and determines admissions eligibility, assessing transcripts from domestic and foreign institutions, and validating student records for admission purposes. They also participate in admissions committees, special projects, and training initiatives to support UC San Diego's admissions operations and recruitment goals.
As a representative of UC San Diego and the University of California, the TCSAO is expected to perform with a high level of professionalism among many constituencies, oftentimes conveying complicated and/or sensitive information. The position requires professionalism, skills in presenting information, attention to detail, the ability to collaborate - working in teams, and flexibility. The TCSAO serves as a resource to the staff in Admissions, UC San Diego advisors, administrators and the campus community for issues related to admission to the University.
QUALIFICATIONS
Bachelor's degree in related area with typically two years experience in undergraduate admissions, student advising, or student counseling and/or equivalent experience/training.
Thorough knowledge and experience working with a diverse student population. Ability to interact effectively with a diverse group of prospective students and families, counselors, administrators, the general public and campus community including multicultural and non-traditional populations.
Ability to interpret and communicate University policies and procedures to prospective students and the public.. Ability to interpret broadly written faculty guidelines and use independent judgment in making admission decisions. Aptitude to remain abreast of changes to policy, procedures and adjust to changes as required.
Thorough and comprehensive knowledge of academic programs, including curricula, admissions requirements, and financial aid programs, at colleges / universities and specifically at UC, and / or specific colleges and schools. Familiarity with educational trends, common and best practices at post secondary higher education institutions across the nation.
Advanced verbal and written communication skills. Ability to be an active listener and provide excellent constituent/customer service in all interactions - in person, on the phone and electronically, demonstrating professionalism at all times.
Demonstrated experience and skill to routinely monitor production and quality of work being produced by student staff and set performance standards, observing behavior, providing objective feedback, counseling, and effective leadership/coaching/mentoring. Demonstrated experience and skill to assess student staff capabilities and workloads and redistribute when necessary. Demonstrated experience and skill to teach/train student staff in all aspects of job duties/responsibilities.
Ability to conduct professional presentations before large and small groups, representing the University and the Office of Admissions.
Ability to develop recruitment programs, and design effective materials. Ability to independently organize and implement informational programs for students and parents, counselors, community-based organizations, and the general public.
Demonstrated analytical, critical thinking and problem solving skills. Accurate computational skills and ability to interpret and implement policies and procedures when resolving issues.
Ability to establish and maintain cooperative relationships with schools, universities, community organizations, and other institutions.
Ability to maintain confidentiality, discretion and exercise good judgment in handling sensitive and confidential matters.
Ability to assess workload, organize and prioritize work to meet multiple deadlines with efficiency and accuracy in a fast paced environment with changing demands and minimal supervision.
Capacity to be precise and pay close attention to detail including the ability to independently review records and develop itineraries, schedules and plan recruitment activities and programs.
Ability to conduct independent and unsupervised individual evaluations and assessments (domestic and international), and provide admissions counseling for prospective students, admitted and denied applicants, current UC San Diego undergraduates, high school and community college counselors, college advisors and directors of advising, military recruiters and others.
Knowledge of admission-related technology including CRM (Customer Relationship Management) systems. Efficiency in utilizing technology and data to effectively execute the responsibilities of an Admissions Officer, from outreach and recruitment to application review, evaluation and yield.
Familiarity in the use of a personal computer including the use of the Microsoft Office Suite (Work, Excel, PowerPoint). Knowledge of email systems as a primary form of communication; accomplished skill at navigating the internet for information retrieval.
Experience independently developing, implementing and executing programs and workshops with high schools, community colleges and community-based programs for recruitment and yield purposes.
Detailed knowledge of complex and broadly written guidelines governing evaluation, admission and deferral of first-year and transfer applicants, both domestic and international.
Knowledge of University policies, procedures, and practices relating to Admissions, Registrar, Academic Department and College functions. Knowledge about other campus department functions in the Student Affairs division.
Experience independently developing, implementing and executing programs and workshops with high schools, community colleges and community-based programs for recruitment and yield purposes.
Ability to research, analyze and interpret documents from international educational systems, including transcripts, grading systems and curricula. Ability to recognize inconsistencies in academic records including duplication of course content, repetition and falsification. (Preferred)
SPECIAL CONDITIONS
This position is in-person, on-site.
Duties may require direct contact with children (defined as individuals under the age of 18). Position is a mandated reporter under the Child Abuse and Neglect Reporting Act (CANRA) and completion of the CANRA form is required.
Job is contingent upon a satisfactory clearance based on background check results.
Must be able and willing to work evenings/weekends during peak periods, as required.
Must be able and willing to travel both domestic and international.
Must have access to reliable transportation for domestic travel as needed.
Must be able to obtain and maintain a valid passport and/or REAL ID for international travel as needed.

Pay Transparency Act
Annual Full Pay Range: $63,800 - $111,600 (will be prorated if the appointment percentage is less than 100%)
Hourly Equivalent: $30.56 - $53.45
Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
