DESCRIPTION
Under general direction the incumbent provides administrative and clinical support to faculty in the Division of Trauma, Surgical Critical Care, Burns and Acute Care Surgery in their administrative, clinical, teaching, research, and service activities. Independently responsible for coordinating and executing projects, composing correspondence, managing appointment calendar and travel schedule, coordinating meetings and special events, and serving as liaison withconstituents on behalf of Division faculty. Coordinates medical staff privileges and oversees maintenance of licensing (i.e. medical, DEA, etc.) Coordinates preparation of academic review and merit files. Manages patient-related affairs and acts as patient liaison by fielding questions, scheduling appointments/surgeries and arranging for clinic/hospital admissions.Attends clinic with supporting surgeon on clinic days. Provide administrative assistance for pre- and post- award activities for research accounts and grants. May perform other related duties as assigned.
MINIMUM QUALIFICATIONS
Three years recent administrative support and reception experience in an academic settingor large, complex healthcare system.
Demonstrated excellence in customer service and interpersonal communication skills.
Possess effective time management skills.
Proficient with MS Office Suite (Word, Excel, PowerPoint, Outlook).
Highly detail-oriented.
Must possess the ability to work effectively and equitably with others.
PREFERRED QUALIFICATIONS
Experience in utilizing hospital computer system, Epic, to research patient issues and make appointments.
Knowledge of medical and scientific terminology. Knowledge of University policies and procedures, including those relating to contract and grant administration, accounting, purchasing, and travel disbursements.
Knowledge of UCSD computer systems, FinancialLink, TravelLink, etc.
SPECIAL CONDITIONS
- Must be able to work various hours and locations (including weekends and evenings) based on business needs.
- Employment is subject to a criminal background check and pre-employment physical.
Pay Transparency Act
Annual Full Pay Range: $40,700 - $85,295 (will be prorated if the appointment percentage is less than 100%)
Hourly Equivalent: $19.49 - $40.85
Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
