Reporting to the Assistant Director, First Year Application Review, the Summer Validation Specialist is an entry-level professional who provides support for the annual transcript review and validation process for the incoming class. In this role, the Specialist applies professional admissions and recruitment concepts by assisting with recruitment efforts and/or preparing admissions materials.

Will work on-site at a computer viewing scanned and electronic transcript images, and will follow the provided guidelines for validating incoming first-year students’ admission to the University. This review process includes reconciling self-reported application data to match the information to the official transcripts, verifying high school graduation, screening for provisions for maintaining admission, clearing the American History and Institutions requirement, potentially communicating with students regarding missing documents or information, detecting misrepresentation and falsification, and referring files to the committee that needs further review.


  • Bachelor's degree in related area and / or equivalent experience / training.

  • Ability to conduct individual evaluations and assessments of transcripts.

  • Basic knowledge of a university, and the ability to explain basic information to prospective applicants and the public. Ability to interpret broadly written guidelines and use independent judgment in confirming admission decisions based on provisions of admission.

  • Basic knowledge of academic programs, including curricula, admissions requirements at UC. Ability to recognize inconsistencies in academic records including duplication of course content, repetition and falsification

  • Ability to communicate effectively orally and in writing. Ability to craft clear email communication specifying missing or other required information for submission.

  • Ability to maintain confidentiality, discretion and exercise good judgment in handling sensitive and confidential matters

  • Familiarity in the use of a personal computer including the use of the Microsoft Office Suite (Work, Excel, PowerPoint). Knowledge of email systems as a primary form of communication; accomplished skill at navigating the internet for information retrieval.

  • Basic knowledge and experience working with a diverse student population.


  • Duties may require direct contact with children (defined as individuals under the age of 18). Completion of the Child Abuse and Neglect Reporting Act (CANRA) form is required.

  • The ideal candidate will thrive in a fast-paced environment where expectations for performance and productivity are high.

  • Occasional overtime and weekends may be required.

  • Job offer is contingent upon a satisfactory clearance based on background check results.

  • Due to the nature of this position and access to student record data, confidentiality is of utmost importance.

Pay Transparency Act

Annual Full Pay Range: $52,100 - $87,900 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $24.95 - $42.10

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
