DESCRIPTION

Reporting to the Senior Director, Gift Policy Administration and Donor Stewardship, the Stewardship and Fund Administration Analyst is an integral member of the Office of Gift Policy Administration and Donor Stewardship. The incumbent independently drafts original, personalized letters and correspondence for the Chancellor, and other campus leadership and administration in response to donor giving per established criteria or special request. Writes and/or recommends unique acknowledgement letters for the signature of the Chancellor, and other campus leadership and administration as required. Performs financial analysis on gift data to prepare appropriate and effective written correspondence to acknowledge donor gifts to UC San Diego. Analyzes gift transactions, gathers appropriate confidential data, evaluates gift details, and drafts correspondence.

The Stewardship and Fund Administration Analyst provides expertise and guidance in cooperation with the UC San Diego Office of Gift Planning with any required allocation of testamentary gifts per UC San Diego and UC policy and protocol. Must work with beneficiary department leadership to obtain desired allocation outcomes and obtain Vice Chancellor and Chancellor approvals for allocation. Ensure that allocation letter gift language concurs with the campus fiduciary responsibility to carry out terms and conditions as a charitable gift and that all endorsements and approvals are met through current standard protocols. Also provides expertise and guidance on the reallocation of campus funds to create FFE (Funds Functioning as Endowment) in accordance with UC policy for such reallocation. Consults with campus departments, UCOP, Chancellor, campus counsel and CFO, CBO as necessary. Works with Advancement Services personnel to ensure proper fund set up and other required data is entered into systems for stewardship.

The role also involves comprehensive fund administration responsibilities, including conducting thorough reviews of fund conversion requests, analyzing and resolving cases involving obsolete or inactive funds, and coordinating with donors and campus units to facilitate fund reallocations when necessary. Working closely with campus departments, this position helps implement effective fund stewardship practices by providing guidance on fund usage restrictions, reviewing expenditures for compliance with donor intent, and resolving complex fund administration issues. The position helps to maintain detailed documentation of fund terms and modifications, monitors fund activity to ensure appropriate utilization, and develops processes to strengthen internal controls and enhance fund administration efficiency. Additional responsibilities include preparing fund analysis reports, documenting procedural changes, and serving as a resource to campus partners on matters related to gift fund administration and donor intent compliance.

QUALIFICATIONS

  • Working knowledge of common organization- or research-specific and other computer application programs.

  • Proficient in communication and interpersonal skills to communicate effectively, both verbally and in writing.

  • Proficient in ability to use discretion and maintain all confidentiality.

  • Demonstrates ability to use sound judgment in responding to issues and concerns.

  • Proficient in ability to multi-task with demanding timeframes.

  • Working knowledge of applicable policy analysis techniques.

Pay Transparency Act

Annual Full Pay Range: $58,600 - $100,800 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $28.07 - $48.28

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
