DESCRIPTION

Earl Warren College is one of eight undergraduate colleges at the University of California, San Diego. Warren College is home to approximately 5,000 undergraduate students who may select any major offered by the university. The colleges are distinguished by their general education curriculum which at Warren encourages both depth and breadth, stresses the relationship between the individual and society, and includes two quarters of writing and ethics for most students. The residential life office strives to build a positive and safe living-learning environment in which students can grow and develop. The staff provide programs and services that support the academic mission of the University by enhancing the educational, personal, cultural, and social development of students. Under the general supervision of the Associate Dean of Student Affairs/Director of Residence Life, this position provides administrative support to the Associate Dean of Student Affairs/Director of Residence Life, Assistant Directors of Residence Life, and Business Manager. Manages the resident housing database (RMS) and assignments/room selection process; is responsible for maintaining confidential student information and records; coordinates and shares judicial/conduct administrative load; coordinates the residence life office; assists in the preparation and execution of Warren College student move-in and move-out; responsible for keys, lock changes, and associated billing.

  • Occasional overtime may be required during opening and closing of residence halls in June and September, including summer session when housed in Warren.

QUALIFICATIONS

  • Experience providing administrative support, scheduling appointments, setting up meetings, and maintaining calendars, preferably in a college or university environment.

  • Knowledge of residential housing operations in a university setting.

  • Knowledge of student conduct database systems.

  • Demonstrated experience with business productivity applications including, but not limited to, Word, PowerPoint, Outlook, Publisher, and Excel.

  • Effective interpersonal and verbal communication skill with the ability to clearly, courteously, and diplomatically communicate information to a diverse group of people (including students, parents, staff, and the community) in person, on the telephone, and via e-mail in a professional manner.

  • Ability to organize and meet deadlines in a timely manner, deal with changing priorities and work well under pressure. Skill to coordinate high volume workload with frequent interruptions and conflicting priorities.

  • Ability to develop, organize and manage systems for the coordination of student information and confidential files.

  • Ability to work in a team environment, remaining attentive to ideas, recognizing responsibilities, and actively participating with others to accomplish assignments and achieve desired goals.

  • Demonstrated ability to exercise independent judgment, discretion, initiative, tact and diplomacy in handling sensitive matters and maintaining strict confidentiality.

  • Proven ability to initiate and track various issues and follow-up to ensure timely completion of projects.

  • Demonstrated ability to accurately proofread and prepare correspondence including correct grammar, punctuation, spelling and standard business format.

  • Skilled in using general office equipment including laptop, desktop computer, projectors, fax machine, scanner, copy machine, etc.

  • Ability to maintain acceptable work habits, demeanor, attention to details, punctuality and regularity of attendance.

Pay Transparency Act

Annual Full Pay Range: $33,900 - $72,996 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $16.24 - $34.96

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
