Scripps Institution of Oceanography (SIO) at UC San Diego is a global leader in ocean and earth science research, education, and public service. Our expeditions range from local one-day trips to 60-day missions spanning the globe.
The Ship Scheduling Office at SIO plays a vital role in coordinating these groundbreaking scientific missions, ensuring efficiency, precision, and professionalism at every step.
We are seeking a detail-oriented and dynamic Research Vessel Expeditionary Assistant to provide critical analytical and administrative support for SIO’s seagoing research operations. Supporting the Associate Director and Research Vessel Expeditionary Coordinator, you will be an essential part of the team that ensures our expeditions are executed smoothly and professionally.
Key Responsibilities:
Cruise Planning and Coordination
Collaborate with chief scientists to finalize science party lists and ensure all required sailing forms are complete.
Facilitate pre-cruise preparations, including maintaining tracking spreadsheets and coordinating meetings.
Oversee post-cruise processes, including UNOLS Post Cruise Assessment Reports (PCARs) and participant metrics.
Create and maintain cruise-related documents such as chartlets, operational summaries, and presentation materials for internal and external stakeholders.Website and Online Portal Management
Manage the SIO Ships Portal, ensuring accurate data, permissions, and user support.
Research and resolve unique operational issues related to ship operations and cruise planning.General Administrative Support
Provide executive-level assistance to the Associate Director, including scheduling, meeting preparation, and special projects.
Serve as a central point of contact for the Ship Scheduling Office, greeting visitors, fielding inquiries, and maintaining orderly office operations.
Oversee department calendars, order supplies, and coordinate meetings and events.
QUALIFICATIONS
Ability to analyze and research information and to synthesize large amounts of data with strong attention to detail.
Program and project management skills.
Demonstrated experience to independently collect data and information, anticipate and analyze problems, establish and evaluate alternative solutions, and implement a course of action.
Experience setting up and maintaining orderly files/systems for rapid ease in retrieval of information by self and others.
Demonstrated experience with accurately processing large volumes of detailed work and working independently and effectively with general supervision.
Strong organizational and time management skills to prioritize job functions and work effectively under pressure to meet multiple and conflicting deadlines in a fast-paced environment with frequent interruptions.
Strong computer skills including, but not limited to, Microsoft Word and Excel, with willingness to learn new applications as required. Experience accurately entering data into an electronic/computer-based system. Experience creating spreadsheets and detailed electronic reports using appropriate software applications. Demonstrated experience with online central computer systems.
Ability to use discretion and maintain confidentiality.
Ability to use sound judgment in responding to issues and concerns. Proven problem-solving skills.
Acquiring knowledge of applicable policy analysis techniques.

Demonstrated skill to work as part of a team and demonstrated flexibility in accomplishing departmental goals. Excellent customer service skills.

SPECIAL CONDITIONS
Job offer is contingent upon satisfactory clearance based on Background Check results.
Must be able to obtain a Transportation Worker's Identification Credential (TWIC) through the Transportation Security Administration (TSA).
Pay Transparency Act
Annual Full Pay Range: $40,700 - $85,295 (will be prorated if the appointment percentage is less than 100%)
Hourly Equivalent: $19.49 - $40.85
Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
