DESCRIPTION
Under direct supervision, the HR Coordinator applies professional HR concepts, policies and procedures in the completion of HR assignments that are of limited scope and impact. Receives instructions on most work assignments, and regularly consults with QI HR Analyst and Personnel Manager in the course of completing increasingly complex assignments. Follows standard practices and procedures in analyzing HR situations or data from which answers can be readily obtained. Exercises some judgment within defined procedures and policies to determine appropriate action.
Coordinates Undergraduate student hires/appointments for Qualcomm Institute and Design Lab. Manages and organizes internal HR electronic files including employee personnel files. Serves as back-up timekeeper for QI/D-Lab. Assists staff and students with payroll and Ecotime issues. Processes STE appointments. Clearly explains STE policy to hiring supervisors and submits STE requests via HireOnline. Submits background check requests, processes offers via Onboarding, compiles hire documents and submits hires in UCPath. Serves as primary contact for Volunteer appointments. Trains and orients volunteers to the policies and procedures of the department and UC San Diego. Acts as a resource for volunteer's appointment-related matters during their appointment at UCSD. Works with HR Unit to coordinate visiting scholar appointments and visiting graduate student appointments for QI/D-Lab and client departments. Coordinates visits with sponsoring faculty members. Provides input and recommendations on processes and improvements. Assists with other departmental initiatives and projects, as assigned.
QUALIFICATIONS
Bachelor's degree in communications, psychology or business administration, or an equivalent combination of education and experience.
Excellent interpersonal and customer service skills to interact professionally and courteously with diverse personalities, including non-native English speakers, within and outside of the University, using tact and diplomacy.
Demonstrated ability to work independently and harmoniously as part of a team with frequent interruptions and to meet established deadlines; ability to identify issues needing referral to supervisor
Ability to compose clear, concise emails explaining policies and protocols.
Analytical skills to conduct analysis and develop recommendations; demonstrates organizational skills and problem-solving skills.
Basic knowledge of a human resources management system (HRMS), and / or other related business software programs and systems. In-depth knowledge of computer environments, including a variety of standard web and business- and research-related software such as MS Office Word, PowerPoint, Outlook, Access, and Excel, Adobe products, and internet search engines. Knowledge of and ability to use Web-based applications, with the ability and willingness to increase skills as needed to meet the demands of business.
Ability to handle difficult or volatile situations / individuals effectively.
Demonstrated skills in communicating clearly and effectively verbally and in writing and in integrating information in the completion of assignments.
Knowledge of UC San Diego undergraduate hiring policies and procedures
Ability to acquire knowledge of human resources policies and programs and organization policies and procedures.
Acquiring knowledge of the organization's policies and procedures, and knowledge of functional area.
Excellent organizational skills: strong ability to prioritize tasks, self-motivate and to independently follow tasks through to completion.
General knowledge of human resources employment laws, for example: Americans with Disabilities Act, Affirmative Action & Equal Opportunity, Family and Medical Leave Act, Fair Labor Standards, etc.

Pay Transparency Act
Annual Full Pay Range: $53,800 - $91,000 (will be prorated if the appointment percentage is less than 100%)
Hourly Equivalent: $25.77 - $43.58
Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
