DESCRIPTION

Reporting to the Executive Director of Operational Strategic Initiatives, the incumbent has responsibility for performing executive assistance support functions for the OSI Executive and Senior Directors. This role is responsible for oversight of the administrative operations of the department. This includes the following functions: purchasing, space and facilities, approvals for business, finance, and human resource systems, budget management, events planning support, operations, and other related functions as needed. Additional key areas of responsibility include managing special projects, marketing programs, and graphic design to increase the visibility, outreach, and reputation of OSI, both internally and externally to the University.

This role is uniquely positioned between the Tritonlytics and Strategic Initiatives teams, providing survey development and QA support and marketing, and supporting strategic initiatives projects either in the delivery of content or managing administrative aspects of the engagement. The incumbent will gather, analyze, and synthesize information on OSI’s programs and initiatives. Uses advanced administrative concepts and organization objectives to resolve complex issues where analysis of situations or data requires an in-depth evaluation of variable factors. Exercises judgment in selecting methods, techniques, and evaluation criteria for obtaining results.

QUALIFICATIONS

  • Proven ability to use sound judgment in responding to issues and concerns. Ability to work independently and is able to communicate and request assistance when issues arise.

  • Ability to use discretion and maintain confidentiality. Knows to maintain confidentiality regarding HR, Financial, Operational, and/or management issues and has demonstrated experience of this skill.

  • Demonstrated ability to analyze data and prepare long-range plans. Ability to oversee a variety of long- and short-term projects simultaneously, and to implement effectively any needed changes.

  • Experience in on-line accounting systems to gather information and prepare financial documents. Prefer working knowledge of University online financial systems (Outlook Calendar, Ecotime, UCPath, Concur, Oracles, RMP application, etc).

  • Demonstrated effective interpersonal skills to interact with diverse individuals and groups. Understanding of the diversity and inclusivity goals of the Department and Campus with the skills and abilities to contribute toward meeting and exceeding those goals.

  • Thorough skills to write clear, lively, engaging and compelling copy in a variety of styles appropriate to target audiences and / or the broader public, while ensuring adherence to the location's message.

  • Exceedingly strong computer skills, including understanding of and proven ability using various applications such as spreadsheets, word processing applications, databases, email, calendars and internet browsers.

  • Solid organizational skills and ability to multi-task with demanding timeframes. Has strong time management skills and knows how to prioritize tasks in order to meet deadlines.

  • Solid communication and interpersonal skills to communicate effectively with all levels of staff verbally and in writing. Skill in developing written procedures. Skill in listening, anticipating and responding to the needs of employees and customers interacting positively and constructively.
