DESCRIPTION

Under supervision, Lead Practice Support Specialist serves as a resource for patients, physicians, staff, and ambulatory practice managers. Performs a variety of advanced administrative duties in support of daily ambulatory operational services such as provider templates, procurement, training, report building, ensure clinic maintains service quality standards and adherence to ambulatory guidelines and facilitating of department meetings as assigned. Primarily oversees, provides leadership, and training for all front-end duties such as check in and check out, scheduling, registration, referrals, authorizations, patient administrative messaging, patient forms completion, co-pay collection, managing/monitoring petty cash drawer and other related duties as assigned.

MINIMUM QUALIFICATIONS

  • A minimum of four (4) years previous related experience in a large complex healthcare setting.
  • Prior scheduling and template building experience.
  • Extensive knowledge of medical insurance, authorization and referral processes as well as institutional contract matrix and institutional processes.
  • Proven knowledge of third-party payors including federal, state, and private health plans.
  • Strong problem-solving ability by using good judgment and applying these skills to assist customers and ensure customers' expectations are met.
  • Proven ability to work in an interactive environment and possess excellent customer service skills both in person and over phone.
  • Excellent communication skills with the ability to communicate clearly both verbally and in writing.
  • Proficiency using Microsoft Applications i.e., Outlook Email, Outlook Calendar, Teams, Word and Excel, PowerPoint and Graphs. Proven computer skills and be able to work between multiple systems during tasks.
  • Strong organizational skills. Ability to set priorities, handle deadlines and manage conflicting demands with limited supervision.
  • High level customer service and team work.
  • Self-starter who is accountable and requires minimal direction and supervision; a person who is open to new ideas; and a creative and flexible individual who is comfortable working in a large, complex organization.
  • Possess the personal characteristics of professionalism, credibility, commitment to high standards, innovation, able to maintain strict confidentiality with experience applying good judgment and discretion.

PREFERRED QUALIFICATIONS

  • Experience in an administrative lead role & front office administration.
  • EPIC-Cadence, EMR.
  • Experience in a fast-paced, multi-specialty clinic.
  • Bachelor’s degree.

SPECIAL CONDITIONS

  • Must be able to work various hours and locations based on business needs.
  • May be required to float to other sites to provide coverage as needed. Possible overtime.
  • Employment is subject to a criminal background check and pre-employment physical.

Pay Transparency Act

Annual Full Pay Range: $61,178 - $76,108 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $29.30 - $36.45

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
