DEPARTMENT OVERVIEW
Join the Residential, Retail and Supply Chain Services (RRSS) team at UC San Diego, a dynamic and innovative campus department dedicated to delivering exceptional service to the university community. As a valued RRSS team member, you will be contributing to a broad and complex organization consisting of five key units: Housing, Dining and Hospitality (HDH), Integrated Procure-to-Pay Solutions (IPPS), the UC San Diego Bookstore, Triton Print & Digital Media, and the Early Childhood Education Center (ECEC). With a focus on innovation and customer satisfaction, RRSS aims to inclusively meet the diverse needs of the UC San Diego community while fostering a sense of belonging for our students and staff.
As a member of the HDH team, you will be part of a self-funded unit with over 900 staff employees, 1,000 student employees, and an annual operating budget of $250 million, providing housing and dining services to over 20,000 students, faculty, staff, and their families. POSITION DESCRIPTION
Independently responsible to lead Hospitality Information (HI) and the complex process of providing housing, dining and meeting space management to assigned residents, guests and conference participants. Work closely with the Hospitality Information Supervisor to maintain smooth workflow of business operations. Coordinate and lead all operational functions of Hospitality Information and Conference Desk Operations, including keys, mail, packages and meeting room support.
Responsible to ensure the accuracy of records and reports, including key inventories, package logs, resident, meeting room and conference participant rosters, and financial records relating to HI and Summer Conference Programs which accommodates approximately 2,000 residents at each HI location and approximately 19,000 individuals participating in more than 100 summer conferences and approximately 2,400 meeting events annually.
QUALIFICATIONS
Skill in allocation of bed spaces and meeting rooms within a large conference operation. Ability to negotiate and finalize contractual agreements for clients.
Ability to build and maintain customer relations through a professional approach in handling client needs and concerns.
Experience in meeting planning and conference techniques including scheduling, space and equipment needs preferred.
Strong communication and interpersonal skills to communicate effectively with all levels of staff verbally and in writing. Ability to communicate information clearly and effectively in person and on the phone with a variety of people including staff, faculty, students, parents and vendors.
Proficient with common organization-specific and other computer application programs including Microsoft Word, Excel and Outlook.
Solid organizational skills and ability to multi-task with demanding timeframes. Proven organization skills including skills to set priorities and organize assignments and workload to meet established deadlines.
Demonstrated ability to work efficiently in a busy, customer service oriented office with frequent interruptions, varied work assignments, and fluctuating priorities while meeting deadlines.
Ability to use sound judgment in responding to issues and concerns. Demonstrated ability to exercise good judgment for problem solving and ability to anticipate problems.
Proven ability to work independently and make independent judgments with a minimum of instruction and supervision.
Ability to interact with departmental, administrative, campus staff, and the public in a professional manner with tact, diplomacy, poise and patience. Service oriented attitude.
Ability to make group presentations.
SPECIAL CONDITIONS
A. Current State of California Driver License and clean driving record required to drive university vehicle. Must participate in the DMV pull program.
B. Depending on seasonality, must be willing to work outside normal hours, including evenings and weekends.
C. Overtime may be required.
D. May require response to calls via cell phone after hours.

Pay Transparency Act
Annual Full Pay Range: $66,252 - $102,416 (will be prorated if the appointment percentage is less than 100%)
Hourly Equivalent: $31.73 - $49.05
Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
