You've Accepted an Offer... What's Next?

The Health Human Resources department will facilitate a number of emails to you, which includes:

  • SIGN your offer letter via DocuSign.
  • COMPLETE the online I-9 form which will come from employment.authorization@universityofcalifornia.edu . This form confirms your eligibility to work in the U.S.
  • AUTHORIZE the request for a criminal check via Universal Background.

HR ONBOARDING

By the Thursday prior to your start date, you will receive a reminder email from Human Resources which will include the exact day, time, location, and other instructions for your HR Onboarding. This appointment will occur on a Wednesday and last up to 30 minutes. You may not begin working in your department until you have attended HR Onboarding.

Please bring the following items with you to your HR Onboarding appointment:

  • The completed Student HR paperwork sent to you.
  • Identification: Please refer to this list from USCIS.GOV. (photo copies are NOT accepted)
    • One item from List A or
    • One item from both List B and List C
  • Visa holders: Please provide employment authorization. I-20 & I-94: If required. Obtain Your I-94 Here

Q: I am an hourly (non-exempt) employee. How do I clock in and out for my shifts?

Q: What is UCPath?

UCPath unifies and standardizes payroll, benefits, and human resources for all UC employees. It leverages modern technology and centralizes final acceptance of transactions to assure consistency, data integrity and policy compliance across the UC system.

Q: What is the UCPath Self Service portal?

After you have received your access information you will be able to access the UCPath self-service portal. The UCPath self-service portal is a website that gives employees access to their UC employment information. UCPath online provides you the ability to view and update personal information, view paychecks, sign up for direct deposit, update tax withholdings, view or enroll in benefits, see vacation and sick leave balances, and more in a user-friendly interface. Please see the image below regarding the various activities that can be completed within the portal.

Q: Do I use my Student Active Directory (AD) to login to systems in my new position?

No, you will be assigned a separate, Staff AD. You should receive an email from IS Access team 1-2 days prior to your start date. This email will contain your staff Active Directory (AD) information. This AD will be different from your student AD and email address. If you have questions, please contact UC Health Service Desk: 619-543-4357.

Q: If I do not already have a Social Security Number (SSN), how do I obtain one?

You will need to visit a Social Security Administration (SSA) office in person. The nearest SSA Office to UC San Diego is in Downtown San Diego. For more information regarding how to obtain your SSN, please visit here.

Once you have obtained your SSN:

  1. Login to UCPath and navigate to Personal Information Summary page.
  2. Click Social Security Number.
  3. Click Change/Update SSN.
  4. In the *New Social Security Number* field, type your new social security number.
  5. Click Submit.
