The Division of Extended Studies (DES) at UC San Diego is fully self-supporting, operating year-round (12 months of active instruction) with a budget of $47 million annually in primarily fee income. The unit has over 200 career employees, including academic, management, staff and executive, as well as represented and non-represented positions. Many casual or contract employees and student workers also serve in the organization. In addition, DES employs more than 1,000 active by-agreement instructors.

DES operates in 200,000 square feet of managed space, including a large off-campus classroom facility. The unit maintains a robust online learning platform, operating 24/7 with webcasting and video-conferencing capability. DES also has a strong web presence with e-commerce operating 24/7. There are over 60,000 enrollment transactions annually; 35,000 outreach certification transactions and 25,000 service transactions. DES supports a robust network of representatives, agents, and students (both residential and online) around the globe. Along with all of this, DES operates two television stations, a variety of public lecture programs and is active in federal, state, local, and private research and technical assistance programs and activities.

As of Fall 2020, the University has assumed ownership of a major downtown center for which DES is taking full financial and programming responsibility. The 66,000-square-foot building will support a rich mix of campus-based and community programs reflecting the teaching, research and public service mission of UC San Diego: classroom instruction, continuing education, arts and cultural performances, civic events and collaborative community projects.


The Graduate Student Program Advisor and Coordinator is a highly-experienced professional who provides counseling to students on the full range of requirements and opportunities for one or more self-funded and professionally-oriented graduate degree programs, administered in the Office of Advanced Professional Education and Development (OAPED) at UCSD Division of Extended Studies. The graduate coordinator provides graduate program advising and student services advising related to the student’s academic progression towards the degree, program and graduate policies, as well as provides resources and assistance for student life matters such as obtaining financial aid, health insurance, enrollment records, etc. The coordinator also assists the program’s academic leadership with day to day program operations and management, such as organizing committee meetings, recording minutes, planning and scheduling courses each quarter, administering petitions related to student matters, implement and submit documentation for curriculum changes and course format changes, etc. Analyzes and recommends solutions regarding progression to degree completion and issues related to graduation. Addresses student conduct and academic integrity or related issues. Communicates and enforces policies of UC San Diego Graduate Division (GEPA) and of the Program. Advises faculty regarding policies, program objectives, and student needs. In collaboration with the program directors and other stakeholders, participates in long-range strategic planning, student recruitment and the development of strategic student recruitment plans.

  • These degree programs are taught primarily on-site, so working in-person at least 2 days a week will be required. Otherwise, this position is on a hybrid work schedule.

  • Working knowledge of advising and counseling techniques. Experience working in student counseling for self-funded, graduate professional programs, including academic advising, admissions, and outreach.

  • Demonstrated experience designing, developing, delivering and managing educational programs for adults

  • Knowledge of common graduate program designs, including admissions requirements, processes and progression to candidacy.

  • Experience in advising students regarding student life, financial assistance, study workload, student conduct and other related issues

  • Demonstrated success in working with and advising faculty to organize and deliver an excellent student learning experience.

  • Knowledge of University-specific computer application programs and knowledge of University and departmental principles and procedures involved in risk assessment and evaluating risks as to likelihood and consequences.

  • Solid verbal and written communication skills.

  • Multicultural competencies; ability to work with diverse populations.

  • Interpersonal skills.

  • Demonstrated experience in forecasting enrollment, and developing and overseeing simple budgets

  • Ability in problem identification and reasoning; ability to develop original ideas to solve problems.

  • Skills in judgment and decision-making, problem solving, identifying measures of system performance and the actions to improve performance.

  • Knowledge of complex U.S. visa and immigration procedures, compliance issues, and employment eligibility / authorization for international students and scholars.


  • Background check is required for this position.

  • Duties may require direct contact with children (defined as individuals under the age of 18); completion of the Child Abuse and Neglect Reporting Act (CANRA) training and form will be required.

Pay Transparency Act

Annual Full Pay Range: $56,700 - $97,500 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $27.16 - $46.70

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
