DESCRIPTION
DEPARTMENT OVERVIEW
UC San Diego’s Department of Music builds upon the University’s vision to "align our efforts to be a student-centered, research-focused, service-oriented public university" as the country’s foremost graduate program in contemporary and experimental music. Graduate degree programs focus on Composition, Computer Music, Integrative Studies, and Performance. The undergraduate program at UC San Diego offers a bachelor of arts in Music, Music Humanities, and ICAM-Music (Interdisciplinary Computing and the Arts). The curriculum emphasizes the development of musical listening and performance skills as applied to both contemporary and traditional music.
The Department produces over 300 events each academic year, across the wide spectrum of performing arts disciplines, from solo instrumentalist recitals to 70+ person orchestral performances, to fully staged annual opera productions, to the 600+ person UC San Diego Gospel Choir performing each term (three times a year) in Mandeville Auditorium.
The Department has 24 ladder rank faculty, 3 teaching professors, 5 unit 18 lecturers, 10 administrative staff and 7 production staff supporting Department activity.
The Department is responsible for three facilities containing multiple performance spaces: the Conrad Prebys Music Center, with the 380 seat Conrad Prebys Concert Hall, the 144 seat Recital Hall, and the 170 seat Experimental Theater), Warren Lecture Hall (with Recording Studios A & B), 5 project studios and 800 seat Mandeville Auditorium, the largest performing arts facility on the UC San Diego campus.
Mandeville Auditorium, a 23,417 sq. ft. full service recharge facility, hosts major campus events and performances including annual residencies by departments and organizations including the Helen Edison Lecture Series, ArtPower, University Events Office, Muir Musical, Kaibigang Pilipino, Vietnamese Student Association, Chinese Students and Scholars Association, Explorer Academy, Black Student Union, Welcome Week orientations for the campus colleges, and guest speakers including political figures, noted authors and Nobel laureates.
POSITION DESCRIPTION
Serve as primary support and resource to the Chief Administrative Officer (CAO) and Financial Analyst in the Department of Music, an academic department with instructional and public-oriented concert/performance programs. Responsible for all aspects of payroll, disbursements and purchasing that include a large volume of honoraria, entertainment international travel, purchasing of instruments and other technical or specialized supplies and equipment. Using the general ledgers and other appropriate documentation, directly assist the CAO and Fiscal Analyst in researching and preparing computerized analytical materials and reports in a timely manner. Prepare monthly financial reports using ORACLE Financials as required. Review appropriateness of expenditures, availability of funds and applicable funding restrictions. Assist in performing fiscal closing activities. Serve as payroll timekeeper and back up to Fiscal Analyst. Provide general administrative support to the department.
- Hybrid Work Agreement - 3 Days in office/2 days remote. Must be willing to work occasional overtime to meet established deadlines and/or manage workload during peak periods.
QUALIFICATIONS
Experience reconciling ledgers and researching expenditures.
Working knowledge of accounting and bookkeeping principles.
Demonstrated ability to use computers to setup Excel spreadsheets with formulas, enter/retrieve date on database systems and prepare letters and forms with word processing.
Demostrated ability to gather, compile, and verify information/data for department statistics, reports, etc. with accuracy and attention to detail.
Outstanding organizational ability to assess workload, determine priorities and execute tasks according to established deadlines.
Skill in following detailed verbal and written instructions.
Demonstrated skill in communicating effectively with a variety of people by phone, electronically and in person, exhibiting excellent interpersonal skills.
Ability to communicate proper fiscal procedures to faculty, staff, and students.
Ability to perform basic mathematical computations (add, subtract, multiply, and divide) and to recognize errors.
Ability to use conventional filing systems and accurately organize large volumes of material for easy access.
Ability to handle busy phone system and to take accurate messages.
Demonstrated fast accurate typing skills required to handle various typing formats.
Ability to use various office machines, including copiers, FAX, and 10-key adding machine.
Ability to work in a high-volume environment with frequent interruptions.

Pay Transparency Act
Annual Full Pay Range: $40,700 - $85,295 (will be prorated if the appointment percentage is less than 100%)
Hourly Equivalent: $19.49 - $40.85
Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
