This is a Contract appointment that may be extended or converted to career status based on the needs of the department.
Under the general supervision of the Director of Budget & Finance, incumbent is responsible for the day-to-day fiscal and administrative activity of the SIO Business Office/DO and other SIO staff. Coordinates operational support by serving as a key contact for the SIO Business Office for other departments, faculty, staff, and outside vendors regarding policies, procedures and precedents of the functional area.
Responsibilities include, but are not limited to, performing financial transactions, data entry, researching, analyzing, and reconciling financial data; coordinating, approving and auditing of online purchasing documents, check requests, entertainment and travel; processing reimbursements and purchasing requisitions; billing and collection of departmental service agreements; credit card processing and merchant account administration; recharge administration and fiscal year-end support.
Applies professional financial services concepts. Applies organizational policies and procedures to resolve routine issues and customer inquiries. Works on problems of limited scope. Follows standard practices and procedures in analyzing situations or data from which answers can be readily obtained. Receives predetermined work assignments that are subject to a moderate level of control and review. Contacts are mostly internal with some external.
Basic knowledge of financial or accounting concepts, processes and procedures.
Thorough knowledge of financial data management and reporting systems.
Proficiency in the use of spreadsheet and database software.
Effective interpersonal skills, service orientation, active listening, critical thinking, attention to detail, ability to multi-task in a high volume environment, effective verbal and written communication skills and organizational skills.
Basic knowledge and understanding of internal control practices and their impact on protecting University resources.
Proven customer-service experience and ability to coordinate and work with others to accomplish assigned tasks. Must work collaboratively with individuals and groups from a wide variety of backgrounds and organizational levels, to incorporate their ideas, adapt to their needs and to form consensus in appropriate situations.
Prior experience coordinating schedules, seminars and conferences.
Demonstrated experience in customer service, including ability to manage and resolve conflict situations and the ability to maintain impartiality and composure when confronted by hostility or indifference.
Experience using travel, expense and invoice management software, preferably SAP Concur, and familiarity working with different ERP systems such as Oracle.
