This position will work a hybrid schedule which includes a combination of working both onsite at Lightwave Avenue and remote.
Involves providing administrative oversight for an executive, including the coordination of communications and pertinent data among a group of the executive's subordinate management staff. Coverage to include complex calendar scheduling, project coordination, management of travel arrangements, requested forms completion. Additionally, responsible for managing meetings to include agenda setting, minutes management, action item tracking, and other related tasks. Performs and/or oversees special projects or assignments that are highly sensitive or complex in nature, requiring a high level of independence and initiative in execution and implementation. Responsible for other executive management functions such as responding to inquiries, surveys, time card processing, and other projects as assigned. Ensure smooth communications with Health System, School of Medicine, Physician Group and other external entities. Draft communications as needed. Handles details and oversees work of a highly confidential and critical nature to support the executive on matters of significance.
Seven (7) years of related experience, education/training as Executive assistant, office manager, project coordinator or similar OR a Bachelor’s degree in related area plus three (3) years of related experience/training as Executive assistant, office manager, project coordinator or similar.
Professional level experience providing complex administrative support to a high-level executive.
- Experienced with project management and coordination.
- Healthcare experience.
- Process Improvement training (Lean Six Sigma Yellow or Green Belt, etc).
- Must be able to work various hours and locations based on business needs.
- Employment is subject to a criminal background check and pre-employment physical.
