Assists in planning, organizing, and implementing events and functions, which may include symposiums, conferences, program events, banquets, and VIP briefings. May independently manage small, non-complex events. Staffing responsibilities include working with vendors to ensure appropriate staffing levels.


  • Working knowledge of concepts, principles and practices of event planning and production and public relations.

  • Working knowledge of the campus, its programs, policies, mission, goals, objectives, achievements and infrastructure.

  • Working organizational skills, including skill in effectively coordinating and organizing multiple details. Excellent organizational abilities appropriate to effective calendar management and student and / or volunteer scheduling.

  • Good interpersonal communication skills and political acumen, including skill in effectively representing the campus, medical center or other university organization to its publics.

  • Good judgment and effective decision-making and problem resolution skills, including skill to recognize and deal effectively and appropriately with real and potential problem areas, including skill to determine the issues / problems that need to be brought to the attention of higher level staff and / or management.

  • Ability to work in diverse groups, including but not limited to students, staff, faculty, general public, production personnel, technical operators and performing artists.

  • Ability to work professionally under pressure and under tight deadlines ensuring excellent customer service support.

  • Proven knowledge of generally accepted cash handling and accounts receivable procedures.

  • Proven knowledge of safety and security requirements related to public events.

  • Demonstrated experience and knowledge drafting budget proposals, monitoring expenditures and performing cost analyses for each event.

  • Demonstrated experience coordinating a wide variety of event production elements and skilled in working with event layout, staging, audio/visual, lighting, parking, catering, photography, decor, performers, and any other required resources.

  • Proven computer experience with software applications that include database, spreadsheet and word processing.

  • Shown professional knowledge of systems and equipment to stage public events such as audio visual, computer related and lighting.

  • Demonstrated crisis management skills in event resolution to include emergency fire procedures, accident procedures, and failure of physical plant procedures

  • Established strong organizational and time management skills; proven ability to set priorities which accurately reflect the relative importance of job responsibilities, and take into account deadlines, competing requirements and complexity.

  • Proven experience with hands-on approach to event management. Engaging with caterers and event set-up venders to position tables & chairs, place linens, trash containers, portable heaters, signage, etc. Maintain cleanliness of grounds and surrounding areas, and monitor and clean restrooms as necessary throughout event. Participate in the room set-up and tear-down processes - assembling tables, moving tables and chairs, stacking chairs, etc.

  • Established skill in analyzing information, problems, situations and procedures to define the problem or objective, identify relevant concerns or factors and formulate logical and objective conclusions.

  • Demonstrated ability to work with shifting priorities, constant interruptions, changing assignments, deadlines, and heavy workloads.
