Under supervision of the Director of Student and Instructional Services, the Education Programming and Events Coordinator provides direct administrative support to the Student Instructional Services (SIS) team members, and coordinates a variety of special events and programs. Events include the School of Biological Sciences PhD Student Retreat, Grad Launch I activities, annual Graduate Student Cohort Meetings, strategic planning activities, ad hoc workshops/trainings, student branded items coordination, and other initiatives as needed for the School.

The position provides administrative support to the SIS unit, including but not limited to: meeting and vendor coordination and logistics, fiscal processing, travel arrangements, research and basic data analysis, as well as support on calendaring and special projects as needed and directed by SIS and School leadership. Execute duties with tact, diplomacy, discretion, and a high degree of independent judgment. Perform other duties as assigned.


  • Demonstrated experience and proven ability to function at a high administrative level in providing support while representing the organization's best interests at all times.

  • Demonstrated experience and proven ability to provide a high level of support with minimal supervision under the challenge and stress of frequent interruptions and frequently changing priorities and deadlines. Ability to handle multiple tasks simultaneously requiring detail and accuracy.

  • Ability to take initiative in tracking unresolved issues, inquires, and tasks to ensure timely response and resolution. Ability to work effectively and resolve problems as part of a team with the willingness to take on non-routine tasks to move team effort forward.

  • Excellent interpersonal skills, ability to work with a diverse group of people, communicate clearly and effectively on the telephone, e-mail and in person, demonstrating tact and diplomacy at all levels within and outside the University to promote positive relationships.

  • Demonstrated ability to independently schedule, arrange and coordinate seminars, meetings and special events with national and international participants and to create/maintain effective marketing material such as posters, flyers and newsletters.

  • Strong service orientation. Ability to work well as a team member, foster positive professional relationships and resolve conflict with co-workers.

  • Demonstrated ability to manage a complex calendar with frequent changes in a fast-paced environment, including completion of meeting documents and back-up with attention to detail.

  • Superior oral and written communications skills with ability to interact and communicate professionally, sensitively and effectively with a diverse population of faculty, administrators, students, staff and the general public. Skill to independently compose and reply to memos, email, correspondence and telephone calls using correct English grammar, punctuation, and spelling.

  • Administrative experience in an office environment providing high level administrative support. Ability to coordinate administrative activities by determining the time, place, and sequence of actions to be taken and using tact and diplomacy to reach desired objectives. Ability to demonstrate a quality service orientation as a work philosophy.

  • Ability to use initiative and creativity in utilizing computer systems/programs to improve administrative functions, with the skill and ability to manage a variety of records and information, in digital and hard copy format, including knowledge of various filing systems and the skill to set up and maintain files for easy retrieval.

  • In-depth knowledge of computer environments, including a variety of standard web and business- and research-related software such as MS Office Word, PowerPoint, Outlook, and Excel, Adobe products, and internet search engines. Knowledge of and ability to use Web-based applications, with the ability and willingness to increase skills as needed to meet the demands of business. Ability to prepare original and computerized reports, charts, tables, graphs, and other material.

  • Ability to set goals and objectives and maximize the use of available resources.

  • Willingness and demonstrated ability to embrace and consistently uphold the principles of community for a collaborative work environment.

  • Ability to make foreign and domestic travel arrangements with the skill to research the most economic rates and prepare all travel-related forms for submission and reimbursement.

  • Knowledge and some experience in planning and executing small to medium size events (preferably in a University setting).


  • Must be willing to work a flexible schedule, including evenings and weekends, when required, to support and host events that are on or off campus.

  • Background check and DMV check required.

  • Must have access to reliable transportation and a valid California Driver’s License.

Pay Transparency Act

Annual Full Pay Range: $40,700 - $81,850 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $19.49 - $39.20

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
