DESCRIPTION

Reporting to the Senior Director of Development, School of Global Policy and Strategy (GPS) and supporting the Director of Development, the Development Administrative Assistant provides executive administrative support to the GPS development staff. This includes calendar support, travel arrangements, and expense processing. Assists in preparing, researching, and gathering materials and information for meetings and events, and drafting, editing, and proofreading correspondence, briefings, and reports for high level constituents.

Responsible for organizing meetings and donor-related events including coordinating all logistics, vendor management, and support of development and other leadership participants. The Development Assistant will be highly collaborative within GPS, the UC San Diego Advancement team, and with campus overall. The incumbent will work in a fast-paced environment, effectively manage and prioritize multiple projects simultaneously, pay attention to detail, problem-solve independently, work effectively in a team environment and have strong communication skills.

  • Must be able to work a flexible schedule and/or occasional overtime (evenings and/or weekends), as workload demands.

QUALIFICATIONS

  • Experience and proven ability to function at a high administrative level in providing executive level support while representing the University’s best interests at all times.

  • Experience working with the dynamics of fundraising and the concepts of development and advancement for an academic institution. Knowledge of the techniques of donor/prospect research and the ability to extract and distill pertinent and critical information from multiple sources.

  • Demonstrated experience organizing and coordinating event and meeting logistics. Experience arranging travel, booking tickets, creating itineraries and reconciling expenses.

  • In-depth knowledge of the principles and practices of public relations in order to provide effective support to special programs for outreach to prospective and existing donors.

  • Proven analytical skills and ability to work with numbers. Skill to monitor financial activities and transactions for report generation, purchasing, travel vouchers, accounts payable, and accounts payable/receivable.

  • Proficiency in using Microsoft Office suite of tools and experience adapting them to meet office needs. Ability in using databases and learning new software tools including customer relationship databases (Blackbaud), and leveraging these resources in the most efficient manner to support office needs.

  • High degree of integrity, dependability, use of sound judgment, diplomacy and resourcefulness, with a strong work ethic. Demonstrated ability to maintain confidentiality in all matters, including those related to sensitive donor relations.

  • Experience working in a fast-paced, changing environment. Proven excellence in time management practices, organizing and prioritizing workload, working independently on simultaneous detailed projects, and producing accurate, timely results to meet tight, and at times shifting deadlines.

  • Excellent interpersonal, written and verbal communication skills with the ability to interact in a positive manner with diverse and demanding clientele, including deans, faculty, major donors (CEO level), and prominent government and social figures. Ability to use a high degree of tact, diplomacy, and discretion with emphasis on flexibility and professionalism.

  • Strong ability to communicate effectively one-on-one or in group settings, taking into account differences in social, cultural, professional, and educational backgrounds.

  • Proven understanding of the importance of ensuring an equitable, inclusive, and diverse working environment, with the ability to work as a part of a diverse and collaborative team. Competency and commitment to equity, diversity and inclusion.
