POSITION OVERVIEW

Incumbent serves as Business Operations Manager for Student Financial Solutions (SFS) and Passport Services in Business & Financial Services (BFS) ---a multi-divisional organization to include Student Business Services, Cashiers, and Passport Services encompassing Campus Card, Student Accounts Services. Uses skills as a seasoned and experienced administrative operations professional to manage, plan and administer the operations of a small to mid-sized academic or non-academic department or organizational unit with limited scope. This position is responsible for overseeing the day-to-day operational support for financial, space, administration, personnel, and client technology solutions. Manages financial activities, campus card distribution, recharge administration, maintenance agreements, equipment, software licenses, websites, and records retention. As the divisional HR contact, position will be responsible for onboarding and off-boarding of staff, students, and volunteers. This also includes delivery of training, recruitment support, and timekeeping. Provides leadership and work direction to student and temporary employees supporting campus card distribution. Represents the organization in campus-wide teams, committees, and workgroups, as needed. Using skills as a seasoned and experienced administrative operations professional, the position performs short- and long-term planning for the organization demonstrating good judgment in selecting methods and techniques for obtaining solutions.

QUALIFICATIONS

  • Bachelor's degree in a related area and/or equivalent experience/training.

  • Interpersonal skills, including verbal and written communication, advising, and counseling skills.

  • Strong short-term planning, analysis, problem-solving, and customer service skills. Possess ability to be creative, i.e., skilled in taking ideas, concepts, solutions, etc., not directly associated with and change and adapt them to provide usable innovative solutions to operational and management problems.

  • Knowledge of various administrative and operational activities such as event planning, basic fundraising processes, risk management planning, website design, accounting and payroll, and contracts and grants regulations and guidelines.

  • Thorough knowledge of University rules and regulations, processes, protocols, and procedures for budget, accounting and fund management, and/or personnel management. Demonstrated experience in financial analysis and planning, preparation, and administration of budgets.

  • Ability to use discretion and maintain confidentiality.

  • Thorough knowledge of financial analysis, reporting techniques, and/or human resources policies and procedures for staff and academic employees. General knowledge of accounting practices, business management, fund accounting, and audit trails. Demonstrated experience and skill in applying sound resource management and fiscal practices to multiple funding sources and expenditure accounts. Experience with automated financial, payroll, procurement, and other administrative systems.

  • Demonstrated leadership skills and experience with proven ability to apply management principles, practices, and techniques in business conduct for a large multi-discipline, administrative unit.

  • Demonstrated proficiency and advanced skills in the suite of business applications required to support operations, including ServiceNow, Oracle Financials Cloud, Concur, Cascade CMS, Salesforce, Confluence, the Microsoft Office suite (Word, PowerPoint, Teams, SharePoint, Outlook, Access, Visio), or equivalent software applications.

  • General knowledge and understanding of procure-to-pay, travel and expense, and logistics functions, including customer interface and business processes.

  • Demonstrates competency and commitment to equity, diversity, and inclusion.

PREFERRED

Bachelor's Degree in Business Administration, Economics, Statistics, Educational Administration, Political Science, or an allied field, and experience in administrative analysis or operations research; or an equivalent combination of education and experience.

SPECIAL CONDITIONS

  • Occasional evenings and weekends may be required.
  • Position will be on-site, working in multiple locations and remote (hybrid).
