DESCRIPTION

The University of California San Diego is seeking qualified applicants for the position of Athletics Travel & Camps Coordinator. UC San Diego, located in La Jolla, in the San Diego Metropolitan area, enrolls over 35,000 students, earned recognition as one of the world’s premier research universities, and is ranked as one of the top-10 public universities in the nation. UC San Diego Athletics has a proud tradition of academic and athletic excellence, sponsors 23 varsity sports, and is a member of the Big West Conference.

Responsible for developing, implementing and executing strategic travel and camps initiatives for the Intercollegiate Athletics program which is critical for the overall success across all 23 sport programs at UC San Diego. Coordinating the multi-faceted NCAA team and recruiting travel, official and unofficial visits to campus by prospective scholar-athletes as well as professional travel. Oversees the sports camps for Athletics and will assist with negotiations for the sports camp program with on-campus service providers such as Conference Services, Dining Facilities and the Recreation Facilities Office to better leverage the overall program to enhance department revenues and better utilize overall resources.

Specific sport/area assignments for both travel and camps will be shared between the Coordinator and Specialist and assigned internally, with the Specialist being in a lead role.

Preparation of cash deposits for various revenues (i.e. camp, entry fees, guarantees, etc) and administer the change fund. Analyze transactions to ensure proper distribution of income/expenses and assign account coding to deposits and travel reconciliations to assure that revenue and expenses are properly recorded in university ledgers and on the annual Equity in Athletics Disclosure Act (EADA) report. Work with Compliance to ensure NCAA rules with regard to campus visits and policies set up with University travel office. The incumbent will follow the athletic philosophy consistent with that of the UC San Diego Athletic Department and NCAA, and a commitment to diversity in all of its forms.

The incumbent is required to work independently, show initiative, and use creativity to research and/or suggest alternative solutions to problems that are unique to an athletic program.

QUALIFICATIONS

  • Professional demeanor and knowledge of proper etiquette and confidentiality in order to interact effectively with prospective donors, alumni, students, parents, university administrators and athletic coaching staff.

  • Excellent interpersonal skills, including demonstrated ability to exercise good judgment, tact, diplomacy, flexibility, confidentiality and patience, and to successfully interact with a diverse student, staff, coach, alumni, academic and public population, on the telephone and in person.

  • Ability to express ideas concisely and clearly, in written form and verbally. Memorize, retain and dispense a wide variety of information.

  • Ability to accurately compile information and enter data for reporting purposes.

  • Demonstrated experience organizing and prioritizing workload to be delegated to student employees, and effectively monitoring and evaluating their performance.

  • Proven ability to maintain accurate and up-to-date records in hard-copy and electronic formats, for easy retrieval by self and others.

  • Experience to identify potential NCAA violations related to athletic travel, recruitment, purchasing, reimbursements or payments to student-athletes, and Camp/Clinic operations.

  • Problem-solving skills; multi-task, work with frequent interruptions, and effective listener. Ability to prioritize and handle multiple projects and deadlines in a fast paced environment. Ability to identify and implement methods, procedures, and policies. Ability to use good judgment for problem solving. Ability to analyze data and situations and provide recommendations based on findings; ability to be proactive to avoid potential problems.

  • Strong computer skills, including proven ability using various applications such as spreadsheets, word processing, mail merges, databases, email, electronic calendars and internet browsers.

  • Proven writing skills as demonstrated by experience writing and editing correspondence, policies, or email announcements. Proven skill to research information before dissemination to assure that information is accurate, grammatically correct, and that proper etiquette is used.

  • Aptitude and practical experience working with and applying new technology to improve business operations. Ability to observe and evaluate the outcome of situations using new technology, make recommendations, and contribute to the success of changes.

  • Analytical and critical thinking skills to identify problems and develop innovative solutions. Proven ability to exercise discretion and independent judgment, maintain confidentiality and objectivity while dealing with sensitive business issues.

  • Ability to take direction, interpret instructions and requests, be resourceful and maintain a positive outlook.

  • Ability to interpret policies and develop procedures to ensure compliance. In-depth knowledge of regulations in interpreting and administering of a scholarship program to ensure compliance.

  • Demonstrated ability to follow the athletic philosophy consistent with that of the UC San Diego Athletic Department and NCAA, and a commitment to diversity in all of its forms.

  • General knowledge of accounting principles and practices, business math, and bookkeeping for budget planning, purchasing, reporting, and reconciliation.

SPECIAL CONDITIONS

  • This position requires flexibility to adjust work schedule to accommodate workload and deadlines.

  • Background check clearance is required for cash handling.

  • Incumbent may need to participate in the DMV Pull program and maintain a clean DMV record.

  • This position is a mandated reporter of known or suspected child abuse or neglect, according to the California law, Child Abuse and Neglect Reporting Act (CANRA). This position is a campus security authority (CSA) for the Jeanne Clery Disclosure of Campus Security Policy and Campus Crime Statistics Act, which is a federal law requiring disclosure of information about crimes on and around campus.

Pay Transparency Act

Annual Full Pay Range: $40,700 - $81,850 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $19.49 - $39.20

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
