DESCRIPTION

UC San Diego Health Sciences encompasses UC San Diego Health, the region's only academic health system, UC San Diego School of Medicine, one of the nation's top research-intensive medical schools, Skaggs School of Pharmacy and Pharmaceutical Sciences, Southern California's first public school of pharmacy, and Herbert Wertheim School of Public Health and Human Longevity Science. UC San Diego Health Sciences' mission is to deliver outstanding patient care through commitment to the community, groundbreaking research and inspired teaching.

The division of Medical Education within the UC San Diego School of Medicine consists of the following units: Undergraduate Medical Education, Admissions & Student Affairs, Diversity and Community Partnerships, Graduate Medical Education, Continuing Medical Education & Faculty Development, Simulation Education, Physician Assistant Education, Anatomical Services, Business Affairs and Educational Technology. The division supports the education, training and co-curricular activities of approximately 560 medical students, 90 physician assistant students, 1000 residents and fellows as well as the faculty, physician and healthcare providers at UCSD’s School of Medicine, its' Medical Centers, and affiliates.

Reporting to the Executive Director of Enrollment Management and Financial Aid, School of Medicine, the Assistant Registrar, School of Medicine and Physician Assistant Program is responsible for applying and interpreting all policies and regulations to student record functions. Applies policies of the UC, the UCSD Academic Senate, and Federal Family Educational Rights and Privacy Act (FERPA) when independently resolving issues and making changes to student records including (but not limited to) grades, name changes, social security information updates, withdrawals, retroactive course adds/drops, reinstatements, general petitions, and leave of absences.

Works under the direction of higher level Registrar Specialist to provide student specific information in a timely manner about enrollment, grades, and other pertinent student record information. Applies professional Registrar student service based concepts to student record functions. Provides information and enforcement of institutional, state, and federal policies, procedures and regulations. Receives direction regarding more complex programs.

MINIMUM QUALIFICATIONS

  • Six (6) years of related experience, education/training, OR a Bachelor’s degree in related area plus two (2) years of related experience/training.

  • Working knowledge of policies, regulations, and practices with student records services.

  • Working knowledge of University policies, processes, and procedures and of Federal and California laws pertaining to the privacy rights of students and access to student information.

  • Ability to apply working knowledge of policies to individual situations in a diverse learning community.

  • Problem identification and critical thinking skills.

  • Written and verbal communication skills. Active listening skills. Customer service orientation. Interpersonal skills.

  • Working knowledge of common University-specific computer application programs and productivity software.

  • Experience using complex databases.

  • Ability to establish and maintain cooperative relationships with campus departments.

  • Knowledge of specialized registrar core functions (e.g., degree requirements, special enrollment, veterans' benefits, and residency).

  • Ability to professionally handle stressful and difficult situations, and proven sensitivity to customers' needs and concerns.

  • Demonstrated ability to manage records and resolve discrepancies. Skill in following through task/functions with accuracy and attention to detail.

  • Proven ability to compile, interpret and analyze data utilizing multiple resources and references.

  • Demonstrated ability to analyze and evaluate records, both historic and current versions.

  • Ability to edit written material with excellent command and recognition of English grammar and spelling. Ability to prepare accurate and concise reports, correspondence, notes and memos.

  • Knowledge and ability to effectively utilize MS Word, MS Outlook, MS Excel and Explorer.

PREFERRED QUALIFICATIONS

  • Knowledge and ability to effectively utilize campus systems such as: ISIS, DARWIN the Data Warehouse, SQL/DSE, TritonLink, Blink and Hummingbird emulation software.
  • Thorough knowledge of University of California academic regulations and those procedures and revisions as implemented by the San Diego Division of the Academic Senate.
  • Thorough knowledge of UCSD academic/administrative calendars as they affect student services, and demonstrated knowledge of UCSD student services and resources.

SPECIAL CONDITIONS

  • Employment is subject to a criminal background check.

Pay Transparency Act

Annual Full Pay Range: $43,900 - $91,900 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $21.02 - $44.01

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
