DESCRIPTION
UC San Diego’s Temporary Employment Services department is excited to announce a dynamic opportunity for an experienced administrative operations professional to lead and support the operations of a small to mid-sized department.
Position Overview
The Administrative Officer will oversee a variety of key initiatives designed to support departmental functions and strategic priorities. Responsibilities include:
Executive Support: Coordinating executive recruitments, managing senior leaders' calendars, scheduling meetings, and providing committee support.
Event Management: Planning and executing events, including managing RSVPs, creating and tracking budgets, handling logistics, and analyzing post-event data.
Strategic Projects: Supporting initiatives in areas such as resource allocation, strategic planning, constituent engagement, and project management.
Financial Oversight: Assisting with budget preparation, monitoring for discrepancies, managing contracts and purchase orders, processing reimbursements, and tracking expenses.
Office Administration: Handling general office management, resolving resource-related issues, and escalating concerns to leadership when necessary.
Anticipated duration: 3 months
Compensation: $40 - $44.50 / hour, including paid holidays and vacation/sick leave. Full-medical insurance also available.
Location: Hybrid/remote, remote work available 2 days per week. On-site work will be at UC San Diego’s main campus in La Jolla.
Work schedule: Mon - Fri, 8:30 - 5:30 PM.
QUALIFICATIONS
Experience coordinating various office administrative functions as well as experience in independently conceptualizing, planning, managing, and implementing the logistics of scheduling meetings and events.
Strong organizational and problem-solving skills with the ability to manage multiple priorities.
Excellent communication skills for effective collaboration with senior leadership and cross-functional teams.
Bachelor's degree in related area and / or equivalent experience / training.
Three (3) or more years of relevant experience.

Pay Transparency Act
Annual Full Pay Range: $77,000 - $139,200 (will be prorated if the appointment percentage is less than 100%)
Hourly Equivalent: $36.88 - $66.67
Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
