This position supports the Sr. Director over Security, PG CORE operations, Valet and Facilities Div Support Business Admin. Provides reception and administrative support to the Security Services Director and Department. Performs a variety of reception and administrative duties including but not limited to: processing photo identification badges; answering, screening, and direct telephone calls; typing correspondence using word processing software; establishing and maintaining an accurate filing system; handling all incoming and outgoing mail; process key requests; process purchase orders (390's); process Attending Physician permits; provide support for departmental timekeeping/payroll functions; provide badging support to special projects team; provide administrative support to the departmental incident reporting system, creates statistical data reports from the incident reporting system. Job standards are to be performed at a PROFICIENT level.
High school diploma or an equivalent combination of education and experience.
Previous experience performing administrative duties in a professional environment.
Proficient in the following: Word, Excel, PowerPoint, and Outlook.
Experience running incident/statistical reports.
Excellent customer service skills required.
Must be able to multi-task and work in a fast pace environment.
- Associate's degree (or higher).
- Administrative experience within a Security department.
- Knowledge of UCSD Systems.
- Experience in a healthcare setting.
- Experience with badging/access control systems.
- Must be able to work various hours and locations based on business needs.
- Must maintain confidentiality at all times.
- Employment is subject to a criminal background check and pre-employment physical.
Job offer is contingent on successful engagement in the UC COVID-19 Vaccination program (fully vaccinated with documented proof or approved exception/deferral).
If applicable, life-support certifications (BLS, NRP, ACLS, etc.) must include hands-on practice and in-person skills assessment; online-only certification is not acceptable.
