DESCRIPTION

As a member of the Division of Biological Sciences fiscal unit, the Fiscal Assistant provides fiscal and administrative support to the Division's Research Administrators.

Under the general supervision of the Sponsored Projects Manager, assists with post-award activities associated with federal, state, and private awards including: assisting in the creation of Oracle chart strings, performing routine ledger review, analyzing, approving and reconciling expense transactions, performing online journals and cost transfers, completing award close-outs, maintaining fiscal back-up files, and assisting with high-level fiscal reports as directed. Assist with UCPath funding entries and direct retros.

Act as liaison between BioSci and other entities including vendors, General Accounting, Disbursements, and other central campus departments as directed. Provide support and perform all phases of disbursements functions, from assisting with statistical reporting to troubleshooting payment problems with vendors. Perform other duties as assigned.

QUALIFICATIONS

  • Experience with standard filing systems. Ability to maintain and cross reference complex filing systems for rapid/easy retrieval by self or others.

  • Ability to independently advise and work with staff in other campus units including (but not limited to) Disbursements, General Accounting, PIs, Payroll, and Human Resources.

  • Strong organizational skills and ability to prioritize tasks. Ability to self-motivate, to independently follow tasks through to completion and to take ownership of work performance.

  • Demonstrated analytical and problem solving skills with ability to analyze situations, identify existing or potential problems, recommend solutions, determine and implement procedures to accomplish effective resolution, and evaluation results or progress.

  • Knowledge of and ability to interpret Uniform Guidance (UG) and other federal, state and varying agency regulations governing contracts and grants and other types of funding.

  • Experience and knowledge of financial management and bookkeeping principles, understanding of financial statements, and ability to analyze financial data and computer generated information and to provide advice based on findings.

  • Proven ability to independently perform a variety of accurate financial calculations using basic arithmetic functions including addition, subtraction, multiplication, division, percentages, ratios, etc.

  • Strong ability to work independently with a variety of computer platforms and software programs. Ability to self-teach, and to read and comprehend computer manuals. Demonstrated willingness and ability to update and increase skills and knowledge in this area to meet the needs of business.

  • Experience with online entry of purchase requests, financial journals, budget transfers, invoices, purchase orders, disbursement authorizations, etc. Prefer understanding of Oracle, Concur, and UCPath programs, and Cognos tools, etc., to access data and reporting.

  • Excellent interpersonal and communication skills. Ability to work within a team framework, participating in-group discussions regarding systems, procedures, and goals of the units. Proven strong teamwork attitude to independently and willingly assist in other areas of Business Office as needed.

  • Strong oral and written communication skills to successfully communicate effectively in English with students, staff, and academic employees with diverse personalities with different expectations. Proven ability to compose documents using correct grammar, spelling and punctuation.

  • Occasional overtime may be required.
