Department Overview:

The mission of the The Halicioglu Data Science Institute (HDSI) is to lay the groundwork for the scientific foundations of the emerging discipline of data science, develop new methods and infrastructure, and train students, faculty and industry partners to use data science in ways that will allow them to solve some of the world’s most pressing problems.

HDSI has been established as an independent and innovative academic unit that works collaboratively with schools, divisions, departments, centers, students and faculty across multiple disciplines throughout the entire campus. HDSI has 16.5 Faculty FTE on board, through a headcount of more than 34 faculty with split appointments in multiple departments. This highly talented data-driven ecosystem of thought leaders is only expected to grow in the coming years.

HDSI is the administrative home for the undergraduate B.S. major and minor in Data Science, and three new graduate programs; Master of Data Science Online, MS in Data Science and PhD in Data Science. The undergraduate program has 1,000+ students across our major and minor programs, and is expected to grow to 2,100 next year. Our newly launched graduate programs are on track to reach over 100 students within the next two years.

Position Overview:

The Undergraduate Affairs Manager will use his/her skills as a seasoned, experienced student services professional, providing the full range of student services within an organization such as an academic department, school, or college. The incumbent will independently advise students and resolve student services-related issues on the full range of academic issues inherent within the organization, advise faculty and management on a variety of student issues and work with the department's / school's / college's management to recommend changes to policies, practices, and procedures. S/he will provide guidance on issues requiring in-depth knowledge of specialized programs is provided by offices specializing in those fields, e.g., the financial aid office, graduate division, or student learning center, OR by the chair / dean and faculty of the department / school / college and may administer funds for student programs.

The Undergraduate Affairs Manager supervises and provides work direction to Student Affairs staff, working with staff to maintain a positive working environment. The incumbent will identify appropriate professional development and training opportunities for designated subordinates and conduct regular meetings with undergraduate advising staff to update and keep apprised of ongoing and new issues.

Additionally, the incumbent will independently advise students, faculty and staff on department degree requirement procedures, advise continuing and prospective undergraduate DSC majors and minors on curriculum, career opportunities and graduate school opportunities, serve as lead in analyzing curriculum and structural problems with the major and minor programs, as well as advise Department leadership on required course offerings and associated seat openings. S/he will supervise activities that culminate in the production of the quarterly Schedule of Classes for all undergraduate and graduate courses, sections, seminars, independent studies, etc. taught by the department and handle issues involving admission/readmission, student transfer, class enrollments, reinstatements, and exceptions to Academic Senate regulations.

The Undergraduate Affairs Manager will also oversee the administration, evaluation, and awarding of student fellowships, grants, scholarships, and other awards, including HDSI undergraduate scholarship program. S/he will also oversee the strategic planning of financial support for students, judiciously oversee the allocation/expenditures of annual department funds for instructional services and programs. Oversees and exercises delegated authority to commit funds and approve expenditures and ensure that purchases and/or commitments confirm to University guidelines.

Additionally, the incumbent will be responsible for the design, development, and implementation of technological infrastructure to incorporate accurate data/information collection, manipulations of data/information to facilitate faster and accurate dissemination of data/information to different users (faculty, staff, campus departments, external agencies, industry) and serve as a point of contact for student data. S/he will review, develop, assess and implement new procedures and guidelines for handling program processes within the unit, as well as the proper procedure for handling exceptions in consultation with Vice Chair(s).

  • Bachelor's degree in related area and / or equivalent experience / training.

  • Skills in project management, social perceptiveness to be aware of others' reactions and understanding why they react as they do.

  • Working knowledge of advising and counseling techniques. Comprehensive understanding of academic programs, processes, and operations in a large public research university. Ability to analyze individual cases and make independent decisions based on professional knowledge and academic senate, university, and campus policies and procedures.

  • High-level critical thinking and interpretive skills to analyze situations, define problems, identify concerns, develop, propose, and implement solutions.

  • Proficient knowledge of computer systems and applications, including advanced skills in the use of databases, spreadsheets, word processing, presentation and related software. Demonstrated ability to extract pertinent information from computerized databases and other sources, conduct analyses, and prepare proposals and reports.

  • Strong understanding of good management, administrative, and personnel practices. Proven supervisory skills and ability to monitor production and quality of work, and set performance standards. Ability to assess staff capabilities and to delegate, assign, and redistribute work as necessary. Ability to teach/train staff in all aspects of job duties/responsibilities.

  • Knowledge of systems; grading, transcript and diploma production; student academic records management; document management systems; verification of enrollment; graduation and commencement; student fees, fee assessment and refunds; information/communication services and publications; and curriculum, course scheduling and classroom management. Sophisticated knowledge of student information systems.


  • Job offer is contingent upon satisfactory clearance based on Background Check results.
