The Department of NanoEngineering is the 6th and newest department in the Irwin and Joan Jacobs School of Engineering at the University of California, San Diego. This is a young and vibrant interdisciplinary engineering department that provides an exciting and inclusive environment that promotes discovery and excellence in a wide range of engineering, scientific, entrepreneurial and professional areas with over 650 undergraduate students, 175 graduate students and 29 faculty. This department's interdisciplinary nature results in collaborations with undergraduates, graduates and faculty from many other disciplines within the Jacobs School of Engineering and across campus enabling us to create new and exciting research opportunities.

Applies professional Student Services concepts. Provides varied student services to students, faculty, and department / school / college management. Works on moderately complex issues. Receives assistance on more complex issues.

Under general direction of the Student Affairs Manager and in consultation with the Chair, MSO and faculty committees, this position is responsible for the maintenance of the undergraduate academic programs in NanoEngineering. The incumbent will establish and review baseline policies and procedures for the NanoEngineering Student Affairs Office; assist in development of courses; work closely with the faculty and administration to resolve program deviations; represent the Department as needed with other student affairs operations on campus. Work closely with the Department Chair, Vice-Chair, faculty committees and relevant student affairs staff committees on programmatic matters.

The incumbent provides programmatic and academic advising to prospective and continuing undergraduate students is a backup to the graduate student advisor in the NanoEngineering Department. This position will use the various on-line systems for student affairs functions, produce requested reports and make recommendations based on evaluation of data and utilize the virtual advising center (VAC) for maintenance of on-line student records. Reviews, coordinates, and edits the quarterly schedule or classes and orders textbooks. Prepares and updates student affairs/academic program content for the NanoEngineering website.

  • Must be able to maintain confidentiality when dealing with sensitive materials and issues.

  • Must be willing to work occasional overtime for special events or projects.


  • Knowledge of and demonstrated working experience in student affairs operation at the university level. Proven ability to advise students on university/departmental program offerings, policies and procedures and curricular requirements. Understanding of University rules and regulations.

  • Knowledge of academic advising and counseling techniques.

  • Knowledge of University processes and procedures. Working knowledge of Higher Education undergraduate admissions policies and procedures. Working knowledge of Higher Education registration policy and procedure concerning new and continuing students.

  • Knowledge of University-specific computer application programs and pertinent databases. Working knowledge of systems to enter retrieve and/or modify student data.

  • Interpersonal skills. Good interpersonal skills; exhibiting tact, diplomacy, flexibility and courtesy in a professional manner.

  • Multicultural competencies; ability to work with diverse populations. Proven ability to interact with a wide variety of personnel, students and faculty at all levels.

  • Skills in service orientation, organization, active listening, and critical thinking.

  • Ability in problem identification and reasoning. Ability to anticipate problems, identify and analyze available options and implement corrective actions.

  • Ability to multi-task; verbal and written communication skills. Ability to balance multiple, often conflicting priorities with deadline constraints and numerous interruptions.

  • Ability to maintain strict confidentiality.

  • Ability to utilize independent decision-making skills. Demonstrated effective problem solving skills. Ability to identify research and analyze complex situations, recommend solutions and determine action steps to be taken to affect resolutions.

  • Skill in using various computer programs for word processing, database management, electronic mail, spreadsheet, internet and desktop publishing applications.

  • Demonstrated record management experience. Proven skill in establishing and maintaining accurate, organized records, files and filing systems.
