ASSIGNMENT DETAILS
UC San Diego is hiring a Senior Gift Financial Analyst to support the University for the 2024 - 2025 School Year.
Duration: This role is anticipated to last 9 months
Compensation: $36.88 - $38.31/hour. Eligible for paid holidays and vacation/sick leave. Full-medical insurance also available.
Work Schedule: 8:00am - 4:30pm
Location: Hybrid - Tuesday & Thursday in-office on campus in La Jolla
DESCRIPTION
The Senior Gift Financial Analyst will independently monitor the integrity of all gift transactions in the donor database, ESP. Continuously monitor transactions utilizing system control reports, requesting modifications or new reports as necessary. On an ongoing basis, conduct a high-level review and analysis of gifts $10K and over to ensure all data points are captured and accurately reflected in the donor database. Review and approve revenue adjustments and related documentation, as completed by the Gift and Records Management Specialist. Adjustments can be complex and include multiple transactions to VIP donor records. Ensure communications to Donor Stewardship, Gift & Foundation Accounting, Development staff, department staff, and others as applicable. Independently research and analyze methods and to streamline the processing of gifts. Provide support to Gift Policy and Donor Stewardship to ensure that all gifts are properly acknowledged in a timely manner. Present recommendations for process improvements and work with Gift Services leadership to develop action plans for implementation. When necessary, partner with Advancement Data and Business Intelligence (ADBI) and Advancement ITS (AIS), to create new, ad-hoc data control reports and/or novel complex queries for internal customers (departments, development, etc.). Provide information regarding online giving, donor match challenges and other aspects of new fundraising processes to management as needed. Audit and reconcile gift activity in ESP to deposit logs as part of the month-end close.
Prepare the monthly OCGA private grants files for the Gift Funds Records Analyst and Gift and Records Management Specialists to import into the ESP donor database. Review and research new grant constituents to ensure compliance with private support definitions and parameters, CASE guidelines, IRS regulations and UC San Diego policies. Communicate areas of concern and work to resolve matters in compliance with CASE guidelines, duplications, etc. Conduct regular analysis of the system output to maximize accuracy and consistency of product.
The incumbent will prepare quarterly and annual private support reporting. Triage and respond to incoming questions and requests received through the support portal. Ensure the team has a strong internal control environment, particularly around cash handling. Support an effective review process with a focus on quality and strong internal control systems as it relates to the donor database. Maintain and update procedures for compliance with professional standards. Retrieve, validate, and analyze data from a wide variety of data resources, including the donor database, accounting system, reports and spreadsheets.
Support process improvement and documentation.
QUALIFICATIONS
Bachelors degree in accounting, finance, economics, general business, or an equivalent combination of education and experience.
Thorough knowledge of finance policies, practices, and systems.
Ability to independently gather required information to organize, and perform financial analysis assignments.
Set priorities, develop comprehensive timetables and strategies, with frequent interruptions, to meet multiple and competing priorities.
Proven ability to effectively present information verbally and in writing in a clear and concise manner.
Proven ability using spreadsheet and database software for complex financial analysis, fiscal management, and financial reports.
Proven interpersonal skills with peers throughout the organization; strong service orientation and critical thinking skills; and attention to detail.
Proven ability using organizational skills to multi-task in a high volume environment.
Excellent oral and written communication skills.

Demonstrated advanced ability in Excel to create complex spreadsheets for data analysis utilizing advanced tools as pivot tables, VLookup, If/then and other formulas as required

This position has been identified as a Mandated Reporter pursuant to the California Child Abuse and Neglect Reporting Act (CANRA) and requires immediate reporting of physical abuse, sexual abuse, emotional abuse, or neglect of anyone under the age of 18. It is the responsibility of the Mandated Reporter to ensure that they obtain proper training in order to fulfill their reporting responsibilities as required by the California Child Abuse and Neglect Reporting Act and University policy, and to complete and submit the required reports to the UC San Diego Police Department without delay.
Pay Transparency Act
Annual Full Pay Range: $77,000 - $139,200 (will be prorated if the appointment percentage is less than 100%)
Hourly Equivalent: $36.88 - $66.67
Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
