Under the direction of senior staff members and departmental leadership, the project coordinator will contribute to campus-wide efforts to successfully obtain funding and raise the profile of UC San Diego researchers as a member of Research Development (RD). RD is an integrated, collaborative, learning-oriented team that provides guidance, strategic planning, coordination, and communication for the development of large, interdisciplinary research proposals. The team supports the professional development of early-career investigators in areas related to the pursuit of research funding, coordinates internal funding programs, and facilitates selection processes for certain types of funding opportunities.

The Project Coordinator will use analytical, organizational, and project coordination skills to support the full breadth of the UC San Diego research enterprise and advance diverse campus research efforts. The incumbent will participate in the development and coordination of recurring and special projects and perform a variety of activities in support of research and research development initiatives, including:

*Facilitating internal selection processes related to funding opportunities, including complex scientific review committee meetings, applicant feedback, and limited-submission project management systems.

*Coordinating planning, content preparation, and delivery of early-career workshops, trainings, panels, and information sessions on proposal development, outreach, and other Research Development programs/activities;

*Tracking, gathering, and analyzing data to develop and prepare reports;

*Planning and coordinating committee schedules, responding to reviewer needs, screening applications for compliance based on stated guidelines, and ensuring deadlines are met;

*Undertaking projects to maintain and advance the impact of Organized Research Units (ORUs);

*Participating in program development and making recommendations on process improvements and policies; and

*Liaising with faculty, administrators, and partner offices to advance RD's mission and initiatives.

  • Bachelor's degree in related area and two years of professional experience, or equivalent experience / training.

  • Demonstrated project coordination skills. Ability to manage multiple projects, prioritize and meet assigned deadlines. Demonstrated ability to use independent judgment to initiate & track complex issues and projects to completion.

  • Experience navigating and complying with institutional policies and processes. Basic understanding of academic organizational structure and research policies and processes.

  • Proficient in communication and interpersonal skills to communicate effectively, both verbally and in writing.

  • Proficient in ability to use discretion and maintain all confidentiality.

  • Excellent attention to detail and organizational skills.

  • Experience working collaboratively with internal and external peers, managers and teams. Experience successfully interacting with a broad spectrum of people, such as university faculty and staff, high-level leaders, and members of the community from diverse cultures and backgrounds.

  • Experience using computer software applications including but not limited to: Adobe Acrobat, Microsoft Outlook, Excel, PowerPoint, and Word. Willingness and ability to learn new systems as needed.


  • Experience working in a university, government, or nonprofit setting strongly preferred.

  • Experience extracting data from databases and creating reports.

  • Basic knowledge of federal funding agencies and mechanisms for funding research.


  • Position offers a flexible schedule with Hybrid remote options available.

  • Must be able to work occasional overtime, as well as occasional non-standard hours, including weekends and/or evenings.

  • Job offer is contingent upon satisfactory clearance based on Background Check results.
