Residential, Retail and Supply Chain Services (RRSS) is a broad and complex campus department consisting of five key units: Housing, Dining and Hospitality (HDH), Integrated Procure-to-Pay Solutions (IPPS), the UC San Diego Bookstore, Triton Print & Digital Media, and the Early Childhood Education Center (ECEC). RRSS aims to deliver innovative services to activate the campus and meet the diverse needs of the UC San Diego community.

As one of the largest units in RRSS, HDH is self-funded with more than 900 staff employees, over 1,000 student employees and an annual operating budget of $250 million. HDH provides housing for more than 20,000 undergraduates, graduate students, faculty, staff and their families in over 400 buildings and approximately 10 million square feet.

The housing facilities accommodate more than 13,000 single undergraduate and 5,100 graduate and medical students, 650 faculty and staff for rent housing units, and over 1,000 dependents (more than 400 building and 5,700,000 area square feet of facility space) in a 24-7, 365-day work setting. The dining services facilities provide 33,000 meal transactions per day (over 10 million transactions annually) to students, staff, faculty, visitors and conference attendees. HDH also provides maintenance and repair, contract meals and meal plan management, retail food service, conference services and catering services to student residents, faculty, staff and campus guests. HDH has expanded tremendously to better support the residential population of more than 20,000 undergraduate and graduate students and their families. It is poised to become the largest residential campus in the United States.


Responsible for the independent coordination of payroll and personnel issues as well as financial management for the Human Resources Division of the Department of Housing, Dining, Hospitality, a complex, widespread department, with approximately 800 monthly/bi-weekly-paid biweekly/monthly employees. The Personnel and Timekeeping Coordinator will perform human resources functions and accurately complete personnel transactions related to new hires, rehires, transfers, changes in status or funding, leaves of absence, disability, separations, and final wage calculations/transactions for all assigned employees. Update personnel actions utilizing the UC-wide human resources, academic personnel, payroll and benefits system (UCPath), Online Timekeeping and Ecotime. Provide back-up for team members processing biweekly and monthly timekeeping. Assist in developing internal policies and procedures.


  • Experience in payroll and timekeeping process.

  • Knowledge of personnel and payroll procedures.

  • Skill to establish, organize and maintain organized filing systems for payroll reports, personnel files, correspondence and other related management files.

  • Skill and knowledge of interpersonal relations including the ability to communicate in a helpful, pleasant and informative manner to a wide variety of people, in person, via electronic communication and on the telephone with staff and students.

  • Strong organizational skills with ability to work independently and with little supervision; plan workload and meet deadlines.

  • Ability to adapt to new technology, learn, and use a variety of custom software.

  • Experience and skill in using personal computers and various office applications.

  • Skill to remain calm, efficient and patient under pressure while dealing effectively with a wide variety of people with changing priorities and with frequent interruptions.

  • Ability to work effectively in a fast-paced office environment with frequent interruptions.

  • Ability to perform detailed work accurately and in a timely manner.

  • Excellent problem solving skills.

  • Excellent interpersonal skills including courtesy, tact and cooperative attitude.

  • Must be entrusted with confidential materials.


  • Job offer is contingent upon satisfactory clearance based on Background Check results.

  • Occasional overtime may be required to meet deadlines.

If driving a university vehicle, must have current California Driver license, maintain good driving record and participate in the DMV pull program.

Pay Transparency Act

Annual Full Pay Range: $40,700 - $85,295 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $19.49 - $40.85

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
