DEPARTMENT OVERVIEW

Founded in 1903, Scripps Institution of Oceanography (SIO) is one of the oldest, largest, and most important centers for marine science research, education, and public service in the world. Its preeminence in the marine sciences is reflective of its excellent programs, distinguished faculty and research scientists, and outstanding facilities. Research and education at Scripps encompasses physical, chemical, biological, geological, and geophysical studies of the oceans.

The SIO Department occupies space in 12 buildings, totaling approximately 35,000 SF, including class laboratories, instructional support space, conference rooms, classrooms, staff/academic offices, student community gathering spaces and study rooms.

The Scripps mission is to seek, teach and communicate scientific understanding of the oceans, atmosphere, Earth, and other planets for the benefit of society and the environment.

POSITION DESCRIPTION

Using skills as a seasoned, experienced student services professional, provides the full range of student services within an organization such as an academic department, school, or college. Independently advises students and resolves student services-related issues on the full range of academic issues inherent within the organization. Advises faculty and management on a variety of student issues. Works with the department's / school's / college's management to recommend changes to policies, practices, and procedures. Guidance on issues requiring in-depth knowledge of specialized programs is provided by offices specializing in those fields, e.g., the financial aid office, graduate division, or student learning center, OR by the chair / dean and faculty of the department / school / college. May administer funds for student programs.

In consultation with the Master of Advanced Studies (MAS) degree program in Climate Science and Policy (CSP) Executive Director, takes the lead in providing programmatic and academic advising to prospective and current students associated with the MAS CSP program. Supports MAS CSP Executive Director in program development and strategic visioning to consistently improve student’s overall experience. Collaborates with the Executive Director to strategically evolve and facilitate the program including curriculum development of dynamic assignments related to climate science and policy advising, interpretation and implementation of complex policies, creating and analyzing complex reports, short and long term program planning. In concert with Executive Director, works with departments throughout UCSD (Ethnic Studies, Economics, GPS, Rady, Communication, Anthropology, and others) and external partners to support relevant and valuable programming for CSP students. Guides students as a reliable and consistent source of direction by being readily available to support them. Liaises with GPS Career Services to provide high quality career advising and maintains connection with CSP alumni. Occasionally, leads cohort meetings and workshops. Plans guest lecturers with the Executive Director and leads coordination of logistics. Independently leads and coordinates high profile events such as the annual Capstone Symposium and multiple other student social events throughout the year. In consultation with the CSP Executive Director, creates and enhances programmatic communications, media and marketing materials, including social media and the CSP webpage. Designs and facilitates recruitment events and information sessions, both in-person and virtual, for prospective students. Builds and maintains connections with the climate community to facilitate program development. Analyzes revenue and expenditures in coordination with SIO Department Financial Analyst. Processes reimbursements for CSP expenditures as needed. Participates in other SIO Department duties and events as needed.

QUALIFICATIONS

  • Working knowledge of advising and counseling techniques. Ability to meet with and advise students, faculty, administrators and others about academic policies and requirements and to implement the department goals and objectives for the CSP graduate program. Ability to clearly explain and offer guidance on university and departmental regulations, procedures, and policies to current and prospective students.

  • Professional experience working on teams in project management, student advising, event planning, administration or a related field preferred.

  • Demonstrated experience in planning and conducting large and small group meetings and workshops. Demonstrated skill in event management, publicity, and evaluation.

  • Experience in coordinating, designing, implementing and evaluating publicity and marketing strategies and student recruitment procedures on a university campus.

  • Analytical and mathematical skills sufficient to develop and understand budgets, track expenses, initiate spreadsheets, and maintain compliance in accordance with established practices, procedures, and policies.

  • General knowledge and understanding of foundational climate change science (physical, biological, geological, and chemical processes as they relate to dynamic climate systems), policy and politics (domestic and international), humanitarian implications of a destabilized climate (food security, water allocation, biodiversity loss, climate migration, disparities among marginalized communities, etc.) needed

  • Demonstrated experience in communication media including websites, photography and graphic design.

  • Strong verbal and written communication skills. Demonstrated ability to work independently or collaboratively in a highly computerized, high volume, team-orientated environment, exercising good judgment, diplomacy, creativity and initiative in performance of job responsibilities. Demonstrated excellence in clear, concise and understandable written communication.

  • Knowledge of University-specific computer application programs and knowledge of University and departmental principles and procedures involved in risk assessment and evaluating risks as to likelihood and consequences. Proficient in software programs including MS Excel, Word, Google Docs, Google Calendars, Google Forms, Google Drive, internet web browsers, email, etc. in a Macintosh environment.

  • Proven ability to interact constructively with a wide variety of people at all levels, exercising tact and diplomacy and patience with emphasis on flexibility and professionalism. Skill and professionalism to represent the Department and MAS CSP program at meetings, seminars, and workshops.

  • Ability to work with diverse populations. Proven ability to work effectively as a team member and foster positive and cooperative working relationships with co-workers and customers. Experience working with diverse populations including students, faculty, staff, campus administrators and the public. Skill to listen and advise diverse populations using independent and mature judgment. Demonstrated ability to work productively and contribute to staff morale. Proven competency and commitment to equity, diversity and inclusion.

  • Ability in problem identification and reasoning; ability to develop original ideas to solve problems. Ability to anticipate, identify and analyze problems and recommend solutions.

  • Skills in judgment and decision-making, problem solving, identifying measures of system performance and the actions to improve performance. Ability to utilize independent decision-making skills while keeping leadership apprised of situations with high consequence. Demonstrated effective problem- solving skills, organizational skills, ability to identify, research and analyze complex situations, recommend solutions and determine plan of action.

  • Ability to establish priorities, set goals, organize workload, work independently, innovate when necessary, and make independent judgments about policies, procedures and work priorities within existing guidelines.

  • High level of confidence and competency with public speaking, including leading discussions and presenting to large audiences.

  • Ability to maintain confidentiality in accordance with established policies.

  • Strong organizational skills and attention to detail. Ability to prioritize workload to meet shifting deadlines and changing priorities with frequent interruptions. Demonstrated ability to successfully and independently follow multiple tasks through to completion and in a timely manner.

  • Proven skill in developing and maintaining accurate, organized records, files, and filing system.

  • Skills in interacting with and clarifying procedures for faculty by means of research and management of new policies as needed.

  • Willingness to learn new and varied skills as needed for all aspects of position.

Pay Transparency Act

Annual Full Pay Range: $58,600 - $100,800 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $28.07 - $48.28

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
