DEPARTMENT OVERVIEW

The Division of Extended Studies (DES) at UC San Diego is fully self-supporting, operating year-round (12 months of active instruction) with a budget of $47 million annually in primarily fee income. The unit has over 200 career employees, including academic, management, staff and executive, as well as represented and non-represented positions. Many casual or contract employees and student workers also serve in the organization. In addition, DES employs more than 1,000 active by-agreement instructors.

DES operates in 200,000 square feet of managed space, including a large off-campus classroom facility. The unit maintains a robust online learning platform, operating 24/7 with webcasting and video-conferencing capability. DES also has a strong web presence with e-commerce operating 24/7. There are over 60,000 enrollment transactions annually; 35,000 outreach certification transactions and 25,000 service transactions. DES supports a robust network of representatives, agents, and students (both residential and online) around the globe. Along with all of this, DES operates two television stations, a variety of public lecture programs and is active in federal, state, local, and private research and technical assistance programs and activities.

As of Fall 2020, the University has assumed ownership of a major downtown center for which DES is taking full financial and programming responsibility. The 66,000-square-foot building will support a rich mix of campus-based and community programs reflecting the teaching, research and public service mission of UC San Diego: classroom instruction, continuing education, arts and cultural performances, civic events and collaborative community projects.

POSITION OVERVIEW

Using skills as a seasoned, experienced Student Services professional, provides the full range of student services within an organization such as an academic department, school, or college. Independently advises students and resolves student services-related issues on the full range of academic issues inherent within the organization. Advises faculty and management on a variety of student issues. Works with the department's / school's / college's management to recommend changes to policies, practices, and procedures. Provides guidance on issues requiring in-depth knowledge of procedures and policies of specific departments and colleges, the graduate division, concurrent enrollment, disqualification/readmission, Summer Session, the Office of Students with Disabilities, Division of Extended Studies (DES) Student Services, and other campus areas/departments. May administer funds for student programs. Applies in-depth knowledge of higher education, grading systems, and credit transfer in various countries in order to collaborate with overseas partners and advise their student to obtain the best academic outcomes and program satisfaction.

  • This position is primarily at Extension's campus location (UNEX). No parking fees.

QUALIFICATIONS

  • Bachelor's degree and at least three years of related work experience in international student advising and higher-education program management, or an equivalent combination of education and experience.

  • Working knowledge of advising and counseling techniques. Demonstrated experience in counseling adult international students and professionals and demonstrated ability to apply sophisticated academic advising concepts and experience to address intricate and complex student performance issues and credit transfer matters in international education.

  • Demonstrated experience in international business travel which involves direct communication with faculty and advisors of overseas institutions of higher education to inform and persuade them regarding the suitability of our programs for their institutional objectives.

  • Multicultural competencies; ability to work with diverse populations. Demonstrated ability to speak and inform effectively and persuasively to large and small groups, by phone or in person, both on and off stage, to native and non-native speakers of English.

  • Expert knowledge of grading systems and grading cultures in other countries in order to equate them to the U.S. grading system; expert knowledge of curricula and credit systems in higher education overseas in order to knowledgeably discuss course study plans at UCSD and transfer credit to the overseas university.

  • Communication skills: Advanced skills in effective public speaking to inform and persuade groups of 10 - 300, both domestic native speakers of English and international groups of non-native speakers who may have low English proficiency and little or no understanding of higher education in the U.S.

  • Knowledge of University-specific computer application programs and knowledge of University and departmental principles and procedures involved in risk assessment and evaluating risks as to likelihood and consequences. Skill in learning and using business software systems in the completion of work assignments; i.e., Word, Excel, Access, CEDAB, ISIS, Powerpoint, ART, etc.

  • Skills in judgment and decision-making, problem solving, identifying measures of system performance and the actions to improve performance. In-depth knowledge of common professional development and academic program designs for visiting international scholars and students, including admissions requirements and processes, and progression to program completion. Thorough knowledge of functional area and understanding of how work may impact other areas.

  • Proven ability in problem identification and reasoning. Strong skills in proofing work for accuracy and organizing complex data sets to avoid errors; ability to set up procedures to ensure accurate input and reporting

  • Ability to develop original ideas to solve problems. Thorough analytical skills to conduct analysis and develop recommendations, demonstrating organization and problem-solving skills.

  • Expert skills in advising international students regarding student life, financial issues, study workload, student conduct, and other related issues.

  • Thorough knowledge of organization policies and procedures and abilities to implement them properly.

  • Expert skills in developing and managing a complex portfolio of courses and programs for adults in higher education.

  • Interpersonal skills. Thorough and effective verbal, written, and interpersonal communication skills and presentation skills with both domestic and international individuals and audiences.

SPECIAL CONDITIONS

  • Job offer is contingent upon satisfactory clearance based on background check results.

  • Must be able, and willing, to travel internationally for business trips.

  • No vacation is approved during registration and peak periods. Occasional evenings and weekends may be required.

  • Duties may require direct contact with children (defined as individuals under the age of 18); completion of the Child Abuse and Neglect Reporting Act (CANRA) form will be required.
