DESCRIPTION

Provide high level administrative and programmatic support to the IDEA Engineering Student Center at the Jacobs School of Engineering. The incumbent will manage the day-to-day operations and student program/event coordination and logistics for the IDEA Center. Incumbent performs administrative, logistic, and fiscal duties in support of the IDEA programs and activities, including implementation of and adherence to financial protocols and procedures.

Responsibilities include providing administrative support for annual student programs and events, including ongoing assistance for their promotion and marketing, fiscal support, coordinate Center communications, operations and courses, and provide administrative support to the Faculty Director. Participates in long-range planning for clerical/administrative needs within overall goals of the organizational unit, making recommendations to improve and streamline administrative processes. In performance of these duties, individual must demonstrate a high degree of professionalism and adaptability in a rapidly changing environment. Duties require independent judgment, strong organizational skills, exceptional communication and exemplary customer service.

QUALIFICATIONS

  • Administrative/reception/customer service experience in a front office or academic setting.

  • Demonstrated experience in scheduling, organizing, and coordinating meetings and events

  • Experience preparing and processing travel, purchasing, and disbursement requests

  • Excellent interpersonal skills and ability to work with a diverse group of people at all levels of the organization.

  • Strong computer skills, including understanding of and proven ability using various applications such as spreadsheets, word processing applications, databases, email, and internet browsers. Skill using computerized business applications and databases.

  • Demonstrated knowledge, understanding and ability to coordinate work within policies and procedures as they relate to a variety of administrative functions. Ability to perform work according to established protocols.

  • Excellent organizational skills sufficient to implement and maintain filing systems and develop administrative processes and procedures

  • Proven ability to work efficiently as a team member and foster positive relationships with coworkers and clients.

  • Successful experience working online to retrieve information and process business transactions.

  • Excellent organizational skills. Ability to prioritize and multitask to meet competing deadlines.

  • Experience executing logistics in support of events and functions.

SPECIAL CONDITIONS

  • Vacation or leaves limited during peak proposal periods.

  • May be required to work occasional weekends and evenings.

  • Must have reliable transportation and valid driver’s license.

  • Background check required.
