DESCRIPTION
Under supervision and work direction from the Dean’s Office HR Manager, the incumbent provides a suite of administrative support services for student and staff employees in the Jacobs School of Engineering, Dean’s Office. The precise mix of duties will vary over time, depending on business needs and workload volume, but will include tasks such as: recruiting and hiring student employees in academic and non-academic student titles; processing personnel and payroll actions, including student timecards; explaining personnel/payroll processes and policies to students and staff; composing/editing correspondence; and collecting, organizing, and disseminating information.
This position serves as the Dean’s Office backup timekeeper and requires the ability to use standard business tools and software as well as specialized systems such as UCPath and Ecotime; the ability to maintain strict confidentiality, and to exercise initiative and good judgment; a solid understanding of all relevant personnel policies, procedures & regulations and the ability to interpret and implement them; excellent organizational, interpersonal, oral/written communication, analytical and problem-solving skills; and the ability to provide sound advice and consultation to students, employees and supervisors.
This position is eligible for a Hybrid flexible work arrangement, which could include a non-standard work schedule, and/or the ability to work off-site part of the time.
QUALIFICATIONS
Demonstrated experience with recruitment and employment processes. Demonstrated knowledge of hiring policies and procedures.
Experience managing and performing payroll processes, including timekeeping and leave auditing. Experience using UCPath or other payroll/HR systems and the ability to use software and databases to process a full range of personnel actions.
Ability to learn, understand, and comply with state, federal, and UC personnel policies, practices, and procedures as they relate to human resource administration.
Strong analytical and problem-solving skills. Ability to analyze complex situations, troubleshoot, and develop/recommend solutions.
Proven ability to evaluate, interpret, and implement policies and procedures relevant to payroll and employment for represented and non-represented employees. Ability to provide effective advice and consultation to employees and supervisors on relevant policies and procedures, as applicable.
Strong oral and written communication skills. Ability to convey information and provide instructions and guidelines, orally and in writing, in a clear and professional manner. Knowledge of correct usage of English language, grammar, punctuation and spelling. Skill to communicate effectively with non-native speakers of English.
Excellent interpersonal skills and demonstrated ability to interact constructively and collegially with a diverse population. Ability to use sensitivity, tact and diplomacy with an emphasis on flexibility, customer service and professionalism.
Strong organizational skills and ability to independently prioritize work to meet deadlines and constantly changing priorities. Demonstrated ability to function effectively in a high-volume environment with frequent interruptions. Strict attention to detail and accuracy with the ability to complete assigned work in a timely manner.
Proficiency with business software including word processing, spreadsheets, e-mail and calendaring systems. Ability to learn and use specialized or proprietary systems and applications and the ability to update and expand skills as needed.
Skill in developing and efficiently maintaining accurate record keeping systems.

SPECIAL CONDITIONS
Job offer is contingent upon satisfactory clearance based on Background Check results.
Overtime may be required.
Pay Transparency Act
Annual Full Pay Range: $40,700 - $78,258 (will be prorated if the appointment percentage is less than 100%)
Hourly Equivalent: $19.49 - $37.48
Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
