DESCRIPTION

Department Overview:

The mission of the The Halicioglu Data Science Institute (HDSI) is to lay the groundwork for the scientific foundations of the emerging discipline of data science, develop new methods and infrastructure, and train students, faculty and industry partners to use data science in ways that will allow them to solve some of the world’s most pressing problems.

HDSI has been established as an independent and innovative academic unit that works collaboratively with schools, divisions, departments, centers, students and faculty across multiple disciplines throughout the entire campus. HDSI has 16.5 Faculty FTE on board, through a headcount of more than 40 faculty with split appointments in multiple departments. This highly talented data-driven ecosystem of thought leaders is only expected to grow in the coming years.

HDSI is the administrative home for the undergraduate B.S. major and minor in Data Science, and three new graduate programs; Master of Data Science Online, MS in Data Science and PhD in Data Science. The undergraduate program has 1,000+ students across our major and minor programs, and is expected to grow to 2,100 next year. Our newly launched graduate programs are on track to reach over 100 students within the next two years.

Position Overview:

Under supervision of the HDSI Chief Financial Officer and with work direction from the Student Affairs Director, the Graduate Student Financial Support Assistant will assist with the coordination and processing of financial support and travel for HDSI graduate students. The incumbent will ensure appropriate fund usage, maintain accounting records, monitor expenses, and prepare financial reports. Additionally, s/he will audit payroll and ledgers and troubleshoot or reconcile as needed; participate in the maintenance and acquisition of data related to training grants and for other funding/agency requirements; utilize financial tools and systems (e.g. Concur, Oracle) for reporting and tracking graduate student support; and enter and track funding information into campus payroll system (UCPath) for graduate students. S/he will also be responsible for administration of block grants and funding for students in an interdisciplinary and fast paced unit.

QUALIFICATIONS

  1. Knowledge of and experience with basic accounting techniques and systems. Skill to reconcile one set of financial records (divisional) to another (University).

  2. Demonstrated ability to efficiently audit and process a large volume of documents with extreme attention to detail while maintaining the highest degree of accuracy.

  3. Strong computer skills in a PC environment with demonstrated ability to work independently and proficiently with a variety of business applications (MS Office Suite, email, spreadsheet, word processing, database, and web browsing) and University information systems (i.e. PPS, UCPath), with the willingness and ability to update and increase skills and knowledge as needed. Demonstrated experience with computerized systems, database management, and spreadsheet and word processing programs to manipulate data and create reports.

  4. Demonstrated skill to effectively compose correspondence in appropriate format (including business memos, letters, handouts, etc.), skill to proofread and correct for grammar, spelling, punctuation, typographical errors, clarity, syntactical correctness and continuity.

  5. Demonstrated skill to organize large volumes of data and to utilize standard software solutions and proprietary systems for retrieving and displaying information.
