DEPARTMENT OVERVIEW
Residential, Retail and Supply Chain Services (RRSS) is a broad and complex campus department consisting of five key units: Housing, Dining and Hospitality (HDH), Integrated Procure-to-Pay Solutions (IPPS), the UC San Diego Bookstore, Triton Print & Digital Media, and the Early Childhood Education Center (ECEC). RRSS aims to deliver innovative services to activate the campus and meet the diverse needs of the UC San Diego community.
As one of the largest units in RRSS, HDH is self-funded with more than 900 staff employees, over 1,000 student employees and an annual operating budget of $250 million. HDH provides housing for more than 20,000 undergraduates, graduate students, faculty, staff and their families in over 400 buildings and approximately 10 million square feet.
The housing facilities accommodate more than 13,000 single undergraduate and 5,100 graduate and medical students, 650 faculty and staff for rent housing units, and over 1,000 dependents (more than 400 building and 5,700,000 area square feet of facility space) in a 24-7, 365-day work setting. The dining services facilities provide 33,000 meal transactions per day (over 10 million transactions annually) to students, staff, faculty, visitors and conference attendees. HDH also provides maintenance and repair, contract meals and meal plan management, retail food service, conference services and catering services to student residents, faculty, staff and campus guests. HDH has expanded tremendously to better support the residential population of more than 20,000 undergraduate and graduate students and their families. It is poised to become the largest residential campus in the United States.
IPPS, which is an industry leader in supply chain integration and continues to innovate to serve UC San Diego’s growing student population, supports the procurement, payment and fulfillment of business requirements for UC San Diego. IPPS is an operational and organizational alignment unifying several administrative and service divisions into a single business perspective and is comprised of Disbursements, Mail Services, Logistics, Procurement and Contracts, and Travel. For UC San Diego, IPPS manages the sourcing, ordering, delivery, invoice processing and settlement for all goods and services as a continuous process.

POSITION DESCRIPTION
The Financial Activity & Control Analyst within the Disbursement & Travel unit of Integrated Procure-to-Pay Solutions (IPPS) at UC San Diego plays a pivotal role in ensuring financial accuracy and operational efficiency. This position, embedded within the Residential, Retail, and Supply Chain Services (RRSS) team, utilizes various financial technologies such as Oracle Financial Cloud, PaymentWorks, Concur, and ServiceNow to enhance processes and reporting.
The financial activity and control analyst independently reviews and processes cost corrections for posted Payables transactions while fostering positive relationships with campus clients. Provides departments with essential reporting and financial support in the areas of Accounts Payable (AP). Partnering with counterparts in Business and Financial Services (BFS), incumbent coordinates monthly reconciliations and manages the month-end and year-end close for the AP subledger. In collaboration with campus departments authorized to import AP invoices by batch, this position ensures the timely and accurate review, correction, and import of such transactions. Additionally, the incumbent serves as the backup for the monthly account reconciliation tool and the non-PO payment request process, ensuring the continuity of these critical functions.
The Financial Activity & Control Analyst also evaluates a wide range of fiscal concerns, formulating approaches to complex issues, many without precedent, and implementing solutions that require expert analytical skills, sound judgment, and discretion. The position interprets and applies UC and UC San Diego accounting, disbursement, and procurement policies accordingly. Success in this role is driven by the ability to build effective teams, foster strong customer relationships, and collaborate productively with business partners, colleagues, and individuals at all levels within the organization.
Incumbent uses skills as a seasoned, experienced financial service professional with a full understanding of industry practices and organizational policies and procedures. Resolves a wide range of issues. Demonstrates good judgment in selecting methods and techniques for obtaining solutions.
QUALIFICATIONS
Thorough knowledge of financial processes, policies and procedures.
Thorough knowledge of financial data management and reporting systems.
Leadership skills to provide guidance, coaching and mentoring to professional and support staff.
Strong proficiency in the use of spreadsheet and database software.

Pay Transparency Act
Annual Full Pay Range: $69,500 - $123,500 (will be prorated if the appointment percentage is less than 100%)
Hourly Equivalent: $33.29 - $59.15
Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
