DESCRIPTION

In 2007, the Department of NanoEngineering was established as the sixth and newest department in the Jacobs School of Engineering. This young and vibrant new department is in an intensive growth phase, recruiting faculty and staff, planning new space and facilities, and creating new and exciting graduate and undergraduate programs, currently offering B.S., M.S., and Ph.D. degrees in NanoEngineering and Chemical Engineering. The NanoEngineering Department has grown rapidly with 28 faculty members and anticipated enrollment for fall 2017 of over 700 undergraduates and 140 graduate students.

The department operates the NanoEngineering-Material Research Center (NE-MRC), a 9000 sq. ft. state-of-the-art Materials Preparation and Characterization facility that houses 5 separate suites. This facility serves as the Core Facility for the Department of NanoEngineering as an approved campus recharge facility also serves as a multi-disciplinary research facility for researchers from various departments on the UC San Diego campus and outside academic and industrial collaborators.

Under general supervision, this position will include Faculty and Fiscal Assistant support for the NanoEngineering Department.

The faculty assistant support includes administrative support for the instructional programs by word processing course materials, copying, maintaining files, ordering AV equipment and conference rooms and interacting with faculty, staff and students. Position additionally provides administrative support to permanent faculty members and their research groups in the department. Coordinates all activities required to support faculty members such as: administration; teaching; research; community/campus service. Responsibilities include organizing conferences, symposia, special events; preparation of reports and correspondence; purchasing support; and coordination of international visitors and related tasks.

Serve as support to the fiscal team on all aspects of the day-to-day financial responsibilities within the Department of NanoEngineering. Duties include the preparation of on-line and paper financial transactions such as reimbursements and purchase requisitions. Review appropriateness of expenditures, availability of funds and applicable funding restrictions. Assist with post award administration using regulations, policies and procedures governing state, private and federal agency compliance requirements.

Under direction, prepare and coordinate submission of proposals to respective agencies at the direction of the Financial Manager, MSO, PI, Chair, and in compliance of UCSD OCGA and/or OGS processing requirements.

  • This is a hybrid position and will require work on-site.

QUALIFICATIONS

  • Ability to prioritize heavy workload and meet deadlines despite constant interruptions and competing deadlines.

  • Demonstrated experience with computers and experience with MS Word, PowerPoint, and intermediate to advanced level skills in EXCEL.

  • Demonstrated ability to exercise good judgment for problem solving, analytical skills and ability to anticipate problems. Ability to identify and recommend appropriate solutions and implement action.

  • Strong demonstrated oral communication skills, with the ability to communicate and interact effectively with faculty, staff, graduate students, visitors and the general public using diplomacy, tact and flexibility in a variety of circumstances.

  • Ability to maintain confidentiality regarding financial, payroll, and personnel information.

  • Knowledge of standard and computerized filing systems. Ability to maintain and cross-reference complex filing systems for rapid/easy retrieval by self and others.

Pay Transparency Act

Annual Full Pay Range: $40,700 - $78,258 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $19.49 - $37.48

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
