The mission of the The Halicioglu Data Science Institute (HDSI) is to lay the groundwork for the scientific foundations of the emerging discipline of data science, develop new methods and infrastructure, and train students, faculty and industry partners to use data science in ways that will allow them to solve some of the world’s most pressing problems.

HDSI has been established as an independent and innovative academic unit that works collaboratively with schools, divisions, departments, centers, students and faculty across multiple disciplines throughout the entire campus. HDSI has 16.5 Faculty FTE on board, through a headcount of more than 40 faculty with split appointments in multiple departments. This highly talented data-driven ecosystem of thought leaders is only expected to grow in the coming years.

HDSI is the administrative home for the undergraduate B.S. major and minor in Data Science, and three new graduate programs; Master of Data Science Online, MS in Data Science and PhD in Data Science. The undergraduate program has 1,000+ students across our major and minor programs, and is expected to grow to 2,100 next year. Our newly launched graduate programs are on track to reach over 100 students within the next two years.


This position functions as a Faculty Assistant supporting the work of HDSI faculty research in a fast-paced multidisciplinary department. The role will support a group of PIs and assist with the management of daily operations across various units in HDSI. Areas of specialization may include, academic personnel, student affairs support, events and media.

The Faculty Assistant will provide a variety of complex administrative support functions for projects under direction of the Financial Analyst. These include, but are not limited to: coordinating and scheduling appointments, conferences, teleconferences, meetings and services; coordinating travel arrangements, submitting purchase requests, processing reimbursements; tracking correspondence, helping with preparing and proof-reading presentation materials, reports, manuscripts and grant proposals; managing websites, tracking media coverage and documenting impact of research, academic file preparation; performing a wide range of duties that require tact, independent judgment, diplomacy, organizational skills, and discretion.

The Faculty Assistant will also be responsible for financial activity, including purchasing, reimbursement, and reconciliation, for a variety of funding sources including grant funds. The incumbent will independently manage visitors and related tasks as well as serve as liaison between faculty and dept./campus in matters concerning academic file preparation, travel, shipping, purchasing, event planning, facilities, and contracts/grants.

  1. Knowledge, understanding and ability to analyze/coordinate policies and procedures as they relate to a variety of administrative functions, along with ability to perform work according to established protocols.

  2. Demonstrated experience making complex foreign and domestic travel arrangements.

  3. Ability to proofread and edit material for correct grammar, spelling, and punctuation. Excellent math skills.

  4. Demonstrated experience with IBM PC and/or Macintosh computers and experience with MS Word, PowerPoint, Excel, and computerized calendaring.

  5. Demonstrated knowledge and experience in academic and business administration with strong organization management skills.
