DESCRIPTION

Supports the Event Specialist 3 in planning, organizing, and implementing events and functions, which may include symposiums, conferences, workshops, open houses, program events, banquets, and VIP briefings. May independently manage small, non-complex events.

Under the guidance of the Event Specialist 3, coordinate the logistics and publicity for international and domestic events. Responsibilities include event website development, design, and maintenance; program and promotional material design, editing and printing; coordination and management of complex registration; developing and maintaining accurate financial records in compliance with University records policy and agency requirements.

Position offers a flexible schedule with Hybrid remote options available.

QUALIFICATIONS

  • Working knowledge of concepts, principles and practices of event planning and production and public relations.

  • One to two (1 - 2) years of event experience, preferably in higher education or a similar environment.

  • Demonstrated experience developing and delivering event marketing and outreach materials.

  • Excellent organizational abilities appropriate to effective calendar management and student and / or volunteer scheduling. Good organizational and time management skills; ability to set priorities which reflect the relative importance of job responsibilities and take into account deadlines; competing requirements and complexity.

  • Experience with scheduling and managing a calendar.

  • Good interpersonal communication skills and political acumen, including skill to effectively representing the campus, medical center or other university organization. Excellent interpersonal skills including tact, diplomacy, discretion, and experience working with individuals and groups with diverse personalities and backgrounds.

  • Good judgment and effective decision-making and problem resolution skills, including skill to recognize and deal effectively and appropriately with potential problem areas, including skill to determine the issues / problems that need to be brought to the attention of higher level staff and / or management.

  • Ability to work with students, staff, faculty, general public, production personnel, technical operators and performing artists. Proven ability to work as a team member, demonstrate cooperative attitude and foster positive relationships.

  • Skill in using web-based technology, spreadsheets, word processing, PowerPoint presentation software, photo editing software, and electronic mail. Ability to establish, update, and maintain websites including text, pictures, and links.

  • Strong attention to detail. Excellent writing and proofreading skills to correct text for accuracy, clarity, grammatical and syntactical correctness.

SPECIAL CONDITIONS

  • Job offer is contingent upon satisfactory clearance based on Background Check results

  • Must have reliable transportation to travel to off-campus locations.

  • Must be able to travel to in-state and out-of-state locations, and out of the country if needed.
