The Development Assistant will provide administrative support to the Gift Planning team including the Executive Director and the Directors of Development of Gift Planning. The Development Assistant will provide marketing support; ESP donor database support; arrange travel; process and track expenses; assist in the preparation, research and gathering of materials and information for meetings and events; draft, edit, and proofread correspondence, briefings and reports for senior university officials; calendar support; and will handle a large volume of mail discriminatingly.

Additionally, the incumbent will provide event management support for events that include small private lunches and dinners for high level donors as well as larger scale receptions. Interact with all levels of the organization, including campus executive administration, and other offices of development throughout the campus. Responsible for independent problem-solving and performing duties with high quality service, utmost courtesy and confidentiality, using a group-process approach to accomplishing work. As requested, manages special projects of a highly confidential and sensitive nature.

  • Experience and proven ability to function at a high administrative level in providing executive level support while representing the University’s best interests at all times.

  • Strong writing, composition, spelling, and proofreading skills. Excellent understanding of the rules of English grammar and syntax, to write clear, concise correspondence and briefings.

  • Experience producing financial and expense reports, purchasing, accounting, travel vouchers, etc. Strong working knowledge of Excel and Access in creating extensive and complex budget and financial reports.

  • Resourcefulness in independently finding appropriate solutions to complex operational and administrative problems, and use of initiative in implementing solutions or making recommendations. Ability to anticipate problems and take necessary actions to mitigate potential negative effects.

  • Proficient in the use of software applications necessary in administrative work, including databases to retrieve current and historical information to compile reports and briefings, spreadsheets, and graphics programs. Ability to implement new systems to increase productivity, using email, word processing, spreadsheet, and calendar applications. Proficiency in adapting computer software programs to meet needs of office.

  • Effective interpersonal and verbal communication skills with the ability to interact in a positive manner with a diverse and demanding clientele, including major gift prospects, donors, volunteers, prominent social, business, and governmental figures, and campus administrators, using a high degree of tact, diplomacy, and discretion.

  • Ability to interact with courtesy and professionalism with a wide range of people from diverse backgrounds, both in the community and within the UC system. Competency and commitment to equity, diversity and inclusion.
