This position will work a hybrid schedule which includes a combination of working both onsite at Hillcrest and remote.
DESCRIPTION

Under the supervision of the Academic Affairs Director, the incumbent will provide administrative support to the Academic Affairs unit. The incumbent will be responsible for administrative transactions including independently analyzing problems, resolving business issues, and providing direction and/or information as required. Provide high-level assistance through the collection, maintenance, and coordination of academic personnel documentation. The incumbent will also be responsible for coordinating faculty interviews, assisting with faculty onboarding, processing travel and expense reimbursements, transcribes meeting minutes, and other duties as assigned.
Assist with applying professional concepts to conduct analytical studies or projects of moderate scope and complexity to address a variety of policy, research and procedural issues. Assist with analyzing issues and problems, gather data and information, assists with finding and evaluating alternatives and making sound recommendations.
MINIMUM QUALIFICATIONS
Four (4) years of related experience, education/training, OR a Bachelor’s degree in related area.
Basic skills to analyze and research information and learn to synthesize large amounts of data with strong attention to detail.
Experience managing multiple complex calendars and travel arrangements, planning meetings both on and off site. Skilled in coordinating complex administrative activities by determining the time, place, and sequence of actions to be taken. Strong coordination skills with prior experience preparing travel arrangements and setting up meetings.
Effective communication and interpersonal skills to communicate effectively, both verbally and in writing.
Strong program and project management skills.
Skills to learn organization-specific and other computer application programs.
Acquiring knowledge of applicable policy analysis techniques.
Experience drafting correspondence and issuing to large audiences.
Ability to use sound judgment in responding to issues and concerns.
Strong computer skills including proficiency with MS Word, Access, Excel, PowerPoint, Internet Explorer, Adobe Acrobat, Visio and web-based applications. Proven typing/word processing skills to prepare correspondence, reports, and spreadsheets.
PREFERRED QUALIFICATIONS
- Experience designing, developing, executing and maintaining websites and intranet pages.
- Knowledge of University policies and procedures regarding purchasing, travel, and expense reimbursements.
- Experience in the preparation of academic review files in accordance with University policies and procedures.
SPECIAL CONDITIONS

Pay Transparency Act
Annual Full Pay Range: $37,900 - $85,300 (will be prorated if the appointment percentage is less than 100%)
Hourly Equivalent: $18.15 - $40.85
Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
Job offer is contingent on successful engagement in the UC COVID-19 Vaccination program (fully vaccinated with documented proof or approved exception/deferral).
If applicable, life-support certifications (BLS, NRP, ACLS, etc.) must include hands-on practice and in-person skills assessment; online-only certification is not acceptable.
