DESCRIPTION

UC San Diego School of Medicine, established in 1968, is the region’s only medical school. The Dean’s Office executes the business, administrative and financial operations on behalf of the Dean. The Business Affairs Coordinator supports administrative and project management needs within the Office of the Dean, School of Medicine. Reporting to the Associate Dean for Business Affairs and the Director of Communications, the incumbent is responsible for supporting all communications and business affairs initiatives, from planning to implementation. Provide high-level administrative support to the Associate Dean and Director ensuring that all daily operations run smoothly. Duties include but are not limited to calendar management, meeting preparation and management, triaging and researching requests, supporting data collection and analysis projects, website maintenance and others. This requires sound judgement, diplomacy, discretion, and confidentiality on a wide variety of complex and highly sensitive issues.

Ideal candidate is someone who is excited about joining a nimble and dynamic office that is in the midst of evolving its infrastructure. Applicants with a business or communications degree will enjoy the exposure this position provides to learning about the economics of running a School of Medicine as well as establishing a communications strategy. Incumbent will be exposed to a variety of business and financial operations, organizational communications efforts, and a variety of initiatives and projects all aimed at advancing the School of Medicine and its core missions of teaching, research and clinical care.

MINIMUM QUALIFICATIONS

  • Six (6) years of related experience, education/training, OR a Bachelor’s degree in related area plus two (2) years of related experience/training.

  • Excellent organizational skills, analytical, and demonstrated attention to detail. Ability to work with extremely complex faculty and executive calendars / schedules requires extremely well organized and detail-oriented precision.

  • Ability to independently coordinate, organize, plan and execute meetings. Skill in coordinating a variety of meetings for various groups assigned to different venues, arranging for use of meeting facilities, classrooms, conference rooms, A/V equipment, etc.

  • Proficient in communication and interpersonal skills to communicate effectively, both verbally and in writing. Demonstrated ability to compose correspondence and reports for high-level officials/administrators.

  • Demonstrated ability to collect, analyze, research and synthesize large amounts of information and data using Microsoft Excel, with strong attention to detail.

PREFERRED QUALIFICATIONS

  • Experience reviewing expense requests and collecting information for requests that exceed policy.
  • Experience with project management.
