DESCRIPTION

The Department of Medicine (DoM) is the largest department within the UCSD School of Medicine (SoM) and is responsible for fulfilling its teaching, research, and clinical missions. DoM employees approximately 500 salaried faculty, nearly 200 academic appointees, and more than 300 residents, fellows, and postdocs, supported by almost 1,000 staff members. The Chair Office functions within DoM Administration and interfaces with staff and faculty throughout the department, SoM, campus, and Health System regarding operational matters.

Under the supervision of the Department of Medicine Director of Faculty and Staff Affairs (FSA), the incumbent will serve as a member of the Chair Office, providing administrative support to senior staff and the Chair of Medicine. Incumbent will manage email communication for the office, managing schedule for the FSA office, coordinate meetings, and collect content for newsletters, website, and presentations.

Uses professional concepts to apply organization policies and procedures to oversee a variety of ongoing administrative operational issues. Administers defined operational program. Analyzes and resolves operational problems of moderate scope.

MINIMUM QUALIFICATIONS

  • Six (6) years of related experience, education/training, OR an Bachelor’s degree in related area plus two (2) years of related experience/training.

  • Ability to use sound judgment in responding to issues and concerns.

  • Solid communication and interpersonal skills to communicate effectively with all levels of staff verbally and in writing.

  • Strong organizational skills and ability to multi-task with demanding timeframes.

  • Proficient knowledge of common organization-specific and other computer application programs.

  • Ability to use discretion and maintain confidentiality.

SPECIAL CONDITIONS
