Under the supervision of the Administrative Operations Supervisor, the Administrative Assistant is responsible for providing professional administrative coordination and support for faculty requiring tact, diplomacy, and discretion on a wide variety of complex and sensitive issues. While performing his/her duties, the incumbent must demonstrate a high degree of professionalism in a rapidly changing, time-pressured environment.
Such duties will include, but not be limited to providing administrative support, organizing and managing complex calendars for meetings/conferences, travel arrangements, and other duties, as assigned.
Undertake special projects within the Department of Neurosurgery, as assigned.
College degree or equivalent work experience.
Demonstrated excellent written and verbal communication skills.
Skill at researching, compiling, and organizing information.
Strong organizational skills and ability to maintain accurate workflow with changing priorities in an often hectic environment.
Proven computer skills with working knowledge of computer systems and various business software programs.
Ability to negotiate events, services, meeting facilities, catering and other amenities.
Demonstrated ability to coordinate complex schedules, seminars and conferences.
Strong ability to prepare, edit and proof-read communications materials, internal and external documents, and course syllabi.
Formatting (CVs, Biosketch, Biobib, Other Support Page, etc.)
Knowledge and basic understanding of medical/scientific terminology.
Knowledge of UC San Diego Policies and Procedures, particularly those involving travel, expenditures and expenditure reimbursements.
Familiarity with UC San Diego’s Business Systems.
- Two to three (2 - 3) years of experience as an Administrative Assistant.
- Experience working in a medical/research setting.
- Knowledge of campus locations, hotel and other meeting sites in the San Diego area. Ability to investigate and evaluate facilities for potential use as meeting sites.
- Knowledge of UC San Diego Policies and Procedures, particularly those involving travel, expenditures and expenditure reimbursements.
- Employment is subject to a criminal background check.
- Ability to work overtime as needed.
