This position will work a flexible hybrid schedule which includes a combination of working both onsite in La Jolla and remote.
Under the general supervision of the Administrative Vice Chair and Academic Affairs Director, incumbent will provide high-level and comprehensive analysis in the areas of Academic Affairs Administration and Department Operational Support. This position supports 12 divisions of Surgery.
Academic Affairs responsibilities include but are not limited to, lead the facilitation of recruitment and appointment of new faculty from creating the Search Plan to drafting proposal letters, professional researchers and Return to Active Duty (RTAD) appointment for retired faculty. Control, manage and oversee all recruitment in conjunction with ARC. Establish schedules and objectives to ensure timely submission of complete files. Coordinate with Department Administrative Directors and ARC to execute new MSPs and coordinate the renewal of expiring MSP contracts. Coordinate Faculty vacation usage, leaves and separations with ARC and Department of Surgery Finance. Manage and responsible for the department to be in compliance with policy and required materials needed for Voluntary appointments, Postdocs, Visiting Scholars, and Scientists. Evaluate unusual requests and make recommendations for appropriate action. Coordinate other miscellaneous department and faculty functions with ARC as needed.
Department Operational responsibilities include services with COI reporting, Department SPA oversight, Student employee training and supervision, support of the Administrative Vice Chair and other Department Business Office duties as needed.
Applies professional UC Academic HR concepts, organization and / or system wide policies, and procedures to provide guidance to supervisors and managers to resolve a variety of academic human resources issues of moderate scope and complexity.
Bachelor's degree in related area and / or equivalent experience / training. Two (2) or more years of relevant experience.
Basic knowledge of and ability to apply / interpret organization and college policies and procedures which govern academic HR.
Knowledge of organization, college and departmental formal and informal policies and procedures and understanding of variances to stated policies.
Knowledge of human resources management systems and other related business software programs and systems.
Knowledge of unit academic culture and educational goals of discipline(s) served.
Analytical skills to conduct analysis and develop recommendations to Chairs / unit management.
Demonstrated organization, problem solving, and communication skills.
Demonstrated knowledge of accounting principles and procedures. Strong demonstrated fiscal/accounting skills. Knowledge of statistical reporting, and mathematics and microcomputers to prepare reports and budget projections for various levels of management or staff within the institution.
Demonstrated and solid experience administering and managing education programs. Proven ability to develop, analyze, and carry out program and project objectives and work with others in achieving organizational goals.
Knowledge of marketing and publicity, resources and costs. Ability to determine specific promotional needs.
Demonstrated ability to coordinate complex schedules, seminars and conferences.
Ability to negotiate contracts with outside vendors.
Ability to review and analyze budgets for funds and appropriateness of expenses against agency and/or University regulations.
- Knowledge of meeting sites in the San Diego area. Ability to investigate and evaluate facilities for potential use as meeting sites.
