DESCRIPTION

The UCSD Viterbi Family Department of Ophthalmology and Shiley Eye Institute is a global leader in research investigation in ophthalmology and visual sciences. With the increasing quantity of clinical, imaging, and testing data available in the modern era of electronic health records and digital health, ophthalmology is poised for rapid advancements in artificial intelligence and "big-data" predictive analytics. Our department is growing its research and training/educational programs in computational and data science to power innovations in this space. In addition, the department has a strong emphasis on diversity, equity, and inclusion. We are growing our educational programs to expand and diversify the future workforce in ophthalmology and vision research.

We are seeking a skilled professional to support a range of training and research grants in the UCSD Viterbi Family Department of Ophthalmology and Shiley Eye Institute. These include a new Bridge2AI training program, a T32 postdoctoral fellowship program, and a T35 medical student short-term summer research training program.

The coordinator will apply skills, process, and policy knowledge to support professional health education program learners. Job requirements primarily center on coordinating program operations, which include teaching and learning activities, program curriculum, learner scheduling, maintaining databases, tracking learner compliance, training grants for pre-graduate and post-graduate trainees, and supporting research grants administration.

The coordinator will need strong administrative and organizational skills to coordinate program-related tasks, technical skills to manage administrative and research databases, and written and oral communication skills while interacting with a wide range of faculty and trainees. Marketing skills are also preferred to enhance the recruitment efforts of the program. The coordinator will also assist with and support outreach efforts in the department related to diversity, equity, and inclusion, via the formal training programs listed above as well as informal efforts organized by the departmental DEI committee.

MINIMUM QUALIFICATIONS

  • Six (6) years of related experience, education/training, OR an Bachelor’s degree in related area plus two (2) years of related experience/training.

  • Demonstrated experience with training and research grants.

  • Basic knowledge of relevant policies and regulatory requirements. Basic knowledge of health professions education industry.

  • Strong decision making skills and ability to use independent judgment and discretion to quickly set priorities and establish new procedures when needed. Ability to research, analyze, recommend, communicate, and implement solutions. Must function independently with minimal direction.

  • Excellent organizational skills, analytical, and demonstrated attention to detail. Ability to work with extremely complex faculty calendars / schedules requires extremely well organized and detail oriented precision. Ability to manage a large volume of work efficiently and meet deadlines with frequent interruptions and changing priorities. Ability to develop, organize, and track projects and coordinate complex activities requiring a high level of accuracy and meticulous attention to detail.

  • Strong communication skills; includes verbal, written and active listening. Service oriented and responsive to questions and requests. Ability to interact in a professional, resourceful, and courteous manner. Ability to manage a large volume of work efficiently and meet deadlines with frequent interruptions and changing priorities. Ability to develop, organize, and track projects and coordinate complex activities requiring a high level of accuracy and meticulous attention to detail.

  • Basic knowledge of administrative analysis and operations research. Acquiring skills in developing and implementing processes and systems. Familiarity with the administrative and operational implications in a program.

  • Effective interpersonal skills. Demonstrated ability to develop working relationships within department and with learners.

  • Proficient experience with multiple computer programs such as Microsoft Office (Excel, Word, Outlook, PowerPoint, Project), Adobe Acrobat), EndNote, SharePoint, or equivalents.

  • Thorough knowledge of educational technology and systems. Ability to troubleshoot and triages related technology issues.

  • Investigative, data analysis, and reporting skills. Ability to generate computer reports, checking for errors, correcting and submitting accurate reports. Skills include entering, maintaining, extracting, and analyzing data in electronic systems.

PREFERRED QUALIFICATIONS

  • Experience with website content management.
  • Experience with social media and digital marketing.
