Incumbent serves the International Faculty & Scholars Office (IFSO) exchange visitor and/or employment-based areas in three main arenas: 1) International Scholar Dossier ("ISD") management; 2) department and scholar advising; and 3) compliance/reporting.

As ISD coordinator, the incumbent will use knowledge of J and H classifications to review and analyze exchange visitor (EV) and employment-based (EB) submission data/requests to determine proper classification. Additionally, the incumbent will partner with ITS staff, IFSO colleagues, departmental administrators, and international scholars in streamlining processes for online submission of requests as systems are upgraded and regulations/internal policies change, reviewing online requests and data for comprehensiveness, ensuring adherence to immigration policies and procedure, and trouble-shooting issues with the web-based application submission process.

As compliance coordinator, incumbent will run a variety of reports in IFSO’s system International Student and Scholar Management system ("ISSM"), access databases, and web-based forms to meet reporting/compliance requirements mandated by the U.S. Depts. of State, Homeland Security, and Labor, for UC San Diego’s exchange visitor program and/or employment-based cases (H-1B, E-3, etc.). As scholar/departmental advisor, incumbent will work with departmental administrators and scholars to facilitate and advise on the online submission requests and will determine eligibility for immigration benefits in compliance with federal regulations governing the J-1 and/or employment-based categories.

Position offers a flexible schedule with Hybrid remote options available.


  • Working knowledge of applicable policy analysis techniques. Skills/experience in analyzing programs/processes and providing recommendations while ensuring adherence to immigration policies and procedures. Ability to provide solutions to moderately complex issues.

  • Bachelor’s degree and one to two (1 - 2) years of experience working with database/informational systems and/or equivalent education and experience.

  • Strong computer skills, with experience in spreadsheets, charts, or graphics to display data, and proficiency adapting programs to meet sophistication required. Knowledge of computer-based applications utilizing databases, word processing, spreadsheets, electronic mail, and web development tools including: Excel, Word, PowerPoint, Access, and calendar programs. Ability to identify and access online information systems and resources.

  • Demonstrates ability to analyze, research and synthesize large amounts of data with strong attention to detail. Proficient skill and experience independently compiling, analyzing and presenting quality and accurate information. Experience to analyze resources, evaluate information and recommend alternative options.

  • Proficient in communication and interpersonal skills to communicate effectively, both verbally and in writing. Exceptional public relations and interpersonal communication skills in a cross-cultural environment. Verified ability to work with diverse populations. Proficient customer service practices assessing, understanding, and exceeding customer needs.

  • Proficient in ability to use discretion and maintain all confidentiality. Validated level of professionalism in providing administrative support, exercise independent judgment, discretion, initiative, tact and diplomacy in managing highly sensitive matters while maintaining strict confidentiality.

  • Demonstrates ability to use sound judgment in responding to issues and concerns. Established skill to independently follow through, problem solve, complete assignments given on a project basis, and to meet established deadlines. Ability to organize and prioritize daily operations, periodic reports, short and long-term projects and to ensure timeliness and accuracy.

  • Proficient in ability to multi-task with demanding timeframes. Competent to work independently in a fast-paced, multi-purpose environment. Aptitude to consistently produce under the pressure of a high-volume workload, frequent interruptions, deadlines, and changing priorities.

  • Excellent writing skills, including web content; able to formulate and present written material in a logical and comprehensive manner; prepare, and present non-standard reports. Excellent general research, comprehension, and analytical skills to identify appropriate resources and understand and interpret complex data, professional materials and documents.

  • Practiced knowledge and experience with information systems including online transactions, queries, and report generation. Adept to develop, produce, and analyze reports using spreadsheets and database software.
