DESCRIPTION

Serve as academic Advisor for the Department of Literature’s undergraduate programs. Advise continuing and prospective undergraduate majors and minors on course and degree requirements. Evaluate individual undergraduate academic needs and career goals. Assist students with selection and scheduling of courses and officially declaring or changing majors. Within departmental guidelines assess applicability of transfer courses. Review and process a large variety of petitions and forms and maintain accurate records, utilizing departmental and university database systems, as well as spreadsheet, database and word processing software. Advise and assist students in petition preparation, to provide faculty advisers with complete background for decision making. Meet with and make presentations to prospective and current students and/or their parents to provide information related to the major program (study abroad, employment opportunities, etc.). Assist with general administrative support to the department, including reception duties. Provide information about the department via email, phone, or in person. Assist with distribution of department mail and pay checks, distribution of keys, faculty copying requests and monitoring department equipment checkout.

Under general direction of the Management Services Officer (MSO) in the Department of Literature, the Undergraduate Student Services Advisor is responsible for advising continuing and prospective undergraduate majors and minors on course and degree requirements. Evaluate individual undergraduate academic needs and respond to various student inquiries, mainly online within the Virtual Advising Center and in-person (when applicable). Assist students with selection of courses and officially declaring or changing majors and minors. Within departmental guidelines, assess applicability of transfer courses. Utilize campus data reporting resources to process regularly-scheduled items such as course authorizations, degree audit updates, and degree approvals. Collect and maintain quarterly course and faculty information for students, including course descriptions, course syllabi, and faculty office hours.

Review and process a large variety of petitions and forms and maintain accurate records, utilizing departmental and university database systems, as well as spreadsheet, database and word processing software. Advise and assist students in petition preparation, to provide faculty advisers with complete background for decision making. Meet with and make presentations to prospective and current students and/or their parents to provide information related to the major program (study abroad, employment opportunities, etc.).

In addition, the incumbent will assist with general administrative support to the department, including reception duties. Provide information about the department via email, phone, or in person. Assist with distribution of department mail and pay checks, distribution of keys and monitoring department equipment checkout.

  • Overtime and weekends may be required.

QUALIFICATIONS

  • Bachelor's Degree in related area and/or an equivalent combination of experience and/or training. Knowledge of the structure and operation of educational institutions, including two and four year public and private institutions, undergraduate programs, and the University of California system.

  • Proven experience in a Student Affairs operation. Basic knowledge of and experience working with a diverse student population. Proven ability to effectively advise and work closely with undergraduate students.

  • Expert knowledge of policies and procedures as they relate to undergraduate education and college general education requirements.

  • Familiarity with regulations pertaining to and support services available for undergraduate students such as, but not limited to: Office for Students with Disabilities, Psychological and Counseling Services, Financial Aid and Health Clinics.

  • Strong multicultural competencies; ability to work with diverse populations. Skill to articulate program descriptions and requirements to a variety of individuals with broad educational, cultural and language backgrounds.

  • Proven ability to interact and clarify procedures for faculty by means of collecting, researching and orchestrating the implementation of new and existing policies. Ability in dealing with sensitive and confidential issues related to faculty and/or students.

  • Demonstrated record management experience. Proven skill in establishing and maintaining accurate, organized records, and a filing system. Knowledge of university reporting requirements and records retention regulations.

  • Proficient computer skills utilizing spreadsheet, word processing and database software, internet browsers, web-based systems and electronic mail software.

  • Strong skill in problem solving, conflict resolution and crisis intervention. Ability to utilize independent decision-making skills and to maintain poise and uphold confidentiality in delicate situations.

  • Proven ability to identify, research, and analyze complex situations and data, recommend solutions and determine action steps to be taken to effect resolutions. Ability to develop clear and concise reports and recommendations.

  • Excellent interpersonal and communication skills. Ability and skill to communicate verbally and in written form, providing information and instructions in a clear, logical, and concise manner. Skilled in making effective public presentations.

  • Ability to work collaboratively in a highly computerized, high volume, team-oriented environment, exercising good judgment, creativity and initiative in performance of job responsibilities.

  • Proven ability and initiative to manage multiple programmatic activities independently. Ability to balance multiple, often conflicting, priorities with deadline constraints and numerous interruptions.
